Parts / Service Specialist

The Parts/Service Specialist provides essential support to the Parts, Service, and Office departments. This role is responsible for assisting with Parts and Service requests, prospecting for new business, managing inventory, and ensuring effective communication and information distribution among colleagues. The Specialist plays a key role in understanding customer needs, communicating requirements, and confirming timelines. It is crucial that this individual can quickly learn and retain product-specific knowledge related to their responsibilities.
Essential Duties and Responsibilities
The essential functions include, but are not limited to the following:
· Answer and field incoming calls and assist with walk-in traffic.
· Identify errors and solve problems.
· Perform data entry with attention to detail, keeping records and files organized.
· Make decisive decisions and apply critical thinking.
· Track, document, process, and verify information for Parts, Service, and Warranty transactions.
· Enter information from Service Work Tickets to prepare for invoicing.
· Handle projects, both large and small, as requested by management.
· Translate customer repair requests into standard repair terminology.
· Accurately calculate discounts, margins, and markups.
· Field and fulfill incoming Parts requests verbally and in writing.
· Maintain inventory control and organization.
· Ensure cleanliness and organization of all areas, including customer-facing POS locations.
· Handle shipping and receiving tasks.
· Analyze customer needs, schedule services, and dispatch for maximum efficiency.
· Attend weekly planning meetings.
· Communicate and coordinate schedules with co-workers, customers, and vendors.
· Enter, review, and process paperwork following applicable policies and procedures.
· Review all paperwork before meetings and set up schedules.
· Update and maintain the database.
Minimum Qualifications (Knowledge, Skills, and Abilities)
· Proficient with Microsoft Office Suite: Excel, Word, and Outlook.
· Intermediate experience with software and technology.
· Project coordination experience is a plus.
· Sage Software experience is a plus.
· Forklift experience is a plus.
· Strong multitasking abilities with the capacity to manage shifting priorities and timeframes.
· Creative and innovative problem-solving skills, with sound judgment aligned to company standards and practices.
· High attention to detail with a focus on accuracy.
· Bright, energetic professional with excellent interpersonal skills and integrity.
· Dependable, results-driven, and skilled in time management and organization.
· Excellent verbal, written, and telephone communication abilities.
· Geographical knowledge.
· Self-motivated, able to work autonomously and within a team in a fast-paced environment.
· Ability to relate to others in a sincere, straightforward, and credible manner.
· Scan and organize completed service packets.

Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus.
