The Intake Specialist serves as the initial point of contact for patients referred into St. Luke’s Developmental & Behavioral Pediatrics practice. The Intake Specialist will manage referrals and successfully guide and support incoming patients and their families through the process of scheduling a new patient appointment. The Intake Specialist functions as part of an interdisciplinary team, who operates as a resource to improve care for patients, network staff, and the community, and works to support the practice in providing efficient patient care, while ensuring excellent patient experience.

JOB DUTIES AND RESPONSIBILITIES:

Serves as an essential link between new patients and the practice, beginning at a patient’s point of entry to St. Luke’s Developmental and Behavioral Pediatrics, and supporting the patient/ family through the entirety of practice services.

Communicates with patients/families in a professional, thorough and timely fashion. Assuring that the patient/family has a clear understanding of what is required and the clinical rationale behind recommendations.

Responsible for initiating first contact with a family when a referral is received and will educate families through the completion of intake paperwork.

Assists patients/ families referred to St. Luke’s Developmental Pediatrics in completing intake paperwork, submitting required documentation, and following up on intake paperwork to initiate provider scheduling.

Responsible to ensure the scheduling and completion of intake appointments with patient/ families and completing associated documentation in the medical record.

Provide information and resources, as applicable, to patient/ families to support needs until time of new patient encounter. 

Comply with established chain of command

Other duties as assigned.

PHYSICAL AND SENSORY REQUIREMENTS:

Sitting up to 8 hours per day; 1 hour at a time. Bending and reaching as it relates to filing. Must have the ability for hearing as it relates to normal conversation, high frequency, and low frequency hearing sounds. Must have the ability for seeing as it relates to general vision, near vision, color vision and peripheral vision.

EDUCATION:

Associate’s degree in a Social or Behavioral Science related field, such as, but not limited to, Human Services, Psychology, or Public Administration, required. Bachelor’s degree in a Human Services/Behavioral Health related field, such as, but not limited to, Psychology, Social Work, or Sociology preferred. 3 years’ experience in behavioral health or medical setting preferred. 

TRAINING AND EXPERIENCE:

Previous general computer experience with data entry required. Previous experience with electronic medical record (EMR) preferred. Previous healthcare experience with medical terminology preferred. Allscripts and EPIC knowledge preferred.
