LOCATION : Bldg. , Eglin AFB, FL – On Site

ESSENTIAL FUNCTIONS: The Executive Assistant (EA) assists and supports the General Manager (GM) and Deputy General Manager (DGM) in the management of their schedule and staff. Required to work independently or within team settings on special, nonrecurring and ongoing projects; acting as a project manager for special projects; disseminating information. Responsible for organizing company-wide events such as annual United Way campaign and semi-annual All Hands luncheons. Other functions may include: generate general correspondence, memos, charts, tables, graphs, business plans, etc.; creation and development of visual presentations for the GM/DGM; organization of large volumes of information and retrieval of filed historical documents; sorting and distribution of mail; receptionist duties for GM/DGM (via telephone, electronically and in person); taking messages or fielding/answering routine and non-routine questions; handling confidential and non-routine information; review, edit and correct official correspondence and contract documents generated by other administrative/management staff. Documents are proofed for spelling, grammar, format and accurate content. The Executive Assistant often suggests corrections and/or alternative wording to such documents and serves as the focal point for editing large documents such as contract revisions, proposals, and E-OMS plans, policies and procedures.

GENERAL DUTIES:

Reports to the E-OMS General Manager and is responsible for scheduling and organizing complex activities such as meetings, travel, and other support activities for the GM/DGM and members of the senior management team. Attends senior staff meetings, tracks, and follows up on staff meeting action items. Must demonstrate poise, tact, and diplomacy. Must be able to interact and communicate at a high level effectively with individuals at all levels of the organization. Operates a variety of high-level computer software applications experience, including word processing, spreadsheets, database and presentation software (Microsoft Office Suite; Word, Excel, PowerPoint, Access) and attention to detail in composing, typing, and proofing materials. Establishes priorities and meeting deadlines are critical to this position. Works in fast-paced environments with demonstrated ability to multitask competing tasks and demands. Exercises independent judgment and creativity to meet the requirements of this position. 

OTHER DUTIES: Back-up duties include assisting with travel coordination and credit card processing. Additional duties may be assigned to support contract/mission support requirements in job-related areas. Work may require occasional overtime and travel opportunities in all areas of the company.

Job Requirements

EDUCATION/EXPERIENCE REQUIREMENTS:

A high school diploma or GED is required. Associates/Bachelor’s Degree in Business or related field is preferred. Ten years of experience in a senior-level administrative or secretarial position is highly desired. Five years of experience as a secretary or administrator in a DOD contractor organization is highly desired. Requires a high level of interpersonal skill, and the ability to handle very sensitive, proprietary and confidential situations and information. Must have above average vocal communication skills and be able to work in a group/team environment.

OTHER REQUIREMENTS: This position requires the ability to attain and maintain a Secret security clearance. Supports E-OMS operational objectives. Observes company Quality, Safety, Environmental, Security and Administrative policies; supports Process Improvement.

WORK ENVIRONMENT: Work activities are normally performed in an environmentally controlled area in an office setting on Eglin AFB, FL.

PHYSICAL DEMANDS: This position will be subject to substantial movements (motions) of the wrists, hands, and/or fingers. Must be able to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; viewing a computer terminal; and requires very limited lifting or moving of heavy objects or materials. May require sitting for long periods of time.
