SUMMARY

The General Clerk I provides services related to mail administration, operations and technical support for the Program Support Center (PSC) Mail and Publishing Services and component agencies within the Department of Health and Human Services (DHHS), as well as to the broader Federal Government. Requires comprehensive training on all mailroom equipment. Additional training will include all procedures related to workplace safety and handling of mail items. Includes light administrative work to be performed on a daily basis.

ESSENTIAL REQUIREMENTS

KEY DUTIES AND RESPONSIBILITIES
Essential Duties and responsibilities include the following. Other duties may be assigned.

Communicates well with customers to formulate solutions in the event of a problem and/or special request.

Sorts and collates mail.

Places mail in proper buckets/bins for distribution.

Opens envelopes to determine delivery destination.

Dates, stamps all incoming mail, if required by customers.

Sorts mail such as returned letters, adjustments, bills, orders and payments.

Completes incorrect returned mail.

Receives outgoing mail and applies correct postage.

Arranges for pickup of outgoing mail.

Stamps mail with postage meters.

Folds letters, circulars, or other documents and inserts into envelopes for distribution.

Weighs mail to determine correct postage.

Places mail in metal bins and carries to departments for distribution.

Records registered mail.

Ensures office is adequately stocked with mail supplies.

Uses fax and scanning machines.

Maintains telecommunication system by following manufacturer's instructions.

Maintains safe and clean work area by complying with procedures, rules and regulations.

Maintains continuity among work teams by documenting and communicating actions, irregularities and continuing needs.

Contributes to team effort by accomplishing related results as needed.

Serves as back up to the on-site mail clerk.

Maintains office supply room, monitoring and recording as instructed.

Demonstrates and performs receptionist skills and qualifications.

Plans daily activities within the guidelines of company policy, job description and supervisor’s instruction in such a way as to maximize personal output.

Responsible for aiding in own self-development by being available and receptive to all training made available by the company.

EDUCATION AND EXPERIENCE

High school diploma or general education degree (GED) and a minimum of one (1) year relevant experience and/or training, or equivalent combination of education/experience.

Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals. Ability to compute rate, ratio and percent and to draw and interpret bar graphs.

REASONING ABILITY

Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

Work is primarily performed in an office environment. Regularly required to sit.
