Department Summary

The Study Abroad Office is responsible for coordinating the university’s study abroad and exchange programs. Study Abroad has a mandate to expand student participation and to integrate study abroad into the UNT curriculum. We aim to develop new opportunities to meet the unique needs of the UNT community and increase student access to global educational experiences.

Position Overview

This position is primarily responsible for supporting the development and delivery of faculty led study abroad programs to increase participation and facilitate smooth administration. The position will initiate and coordinate administrative processes with campus partners on approved programs to handle all aspects of the faculty travel process, the course creation and registration process, and student billing/financial aid adjustment process.

The position will also coordinate program marketing events and routinely deliver presentations including info sessions, financial workshops, and promotional activities. The position will serve as a resource for prospective and enrolled participants & faculty, providing detailed guidance on policies and procedures in an advisory capacity. The position will also as a passport acceptance agent.

Minimum Qualifications

Associate's Degree and two years' of office administration experience; or any equivalent combination of education, training and experience.

Knowledge, Skills and Abilities

  • Proficiency in Microsoft Office.
  • Demonstrated ability to provide outstanding customer service.
  • Demonstrated skill in verbal and written communications .
  • Ability to establish and maintain effective working relationships.
  • Ability to handle multiple priorities.
  • Strong attention to detail.

Preferred Qualifications

The preferred candidate will possess the following additional qualifications:

  • Experience using relevant systems and software including EIS, Concur, Cognos, Terra Dotta, Bookings and Excel
  • Ability to work independently while contributing to an overall team effort
  • Second language proficiency with Spanish preferred

A U.S. Passport Acceptance Agent must also meet the following qualifications:

  • Be a United States citizen or non-citizen U.S. national ·
  • Be able to access birth or identity documents. printing, amending, or issuance functions, including performing duties on different days or hours.

As well as be all of the following:

  • Not presently on parole or probation related to any Federal, State, or local convictions
  • Not presently under indictment for a Federal, State, or local felony, or a misdemeanor related to breach of trust or moral turpitude
  • Free of any Federal, State, or local felony convictions
  • Free of any Federal, State, or local misdemeanor convictions related to breach of trust or moral turpitude (i.e. embezzlement, document fraud, drug offense, or dishonesty carrying out a responsibility involving public trust)

Job Duties:

  • Post-approval administration of faculty led programs: Handles administrative processes from start to finish working directly with campus partners to coordinate all aspects of the faculty travel process, the course creation and registration process, and student billing/financial aid adjustment process. Evaluates assigned processes and recommends improvements. Processes invoices for payment, posts charges on student accounts, and reconciles program expenses. Initiates and monitors faculty and group travel requests and purchases for assigned programs.
  • Faculty-led program marketing: Coordinates program marketing activities including building web brochures, managing social media coordinating events, and delivering presentations including info sessions, financial workshops, and promotional activities.
  • Student services: Serves as a resource to students and stakeholders and provides detailed guidance on policies and procedures in an advisory capacity. Responds to student inquiries via email and phone, communicates with students about program application status and outstanding tasks, and supports student orientations. Responsible for maintaining good relationships with students, faculty, and other offices on campus.
  • Passport agent: Serves as a certified passport agent in the UNT Passport Acceptance Facility.

Work Schedule:

Monday-Friday from 8am-5pm. This is an on campus position with no flexibility for remote work. Some evening or weekend hours may be required for special events or passport office coverage.
