Position Purpose

The Facilities Coordinator maintains the buildings and grounds of Child Inc (including the centers), directing staff and overseeing the upkeep of equipment and supplies. Additional responsibilities includes daily and weekly cleaning schedules; determining and scheduling repairs, waste reduction improvement and safety inspections; coordinating the functions of the transportation; maintaining related records; and ensure compliance with Head Start Performance Standards and Federal/State regulations.

Strategy, Vision and Leadership

  • Contribute to the development of Child, Inc.'s strategic goals and objectives as well as the overall management of the organization.

Team Development/Leadership

  • Manages for the purpose of maximizing the efficiency of the workforce and meeting operational requirements.
  • Promote a culture of high performance and continuous improvement that values learning and a commitment to quality.
  • Establish and monitor staff performance and development goals, assign accountabilities, set objectives, establish priorities, and conduct annual performance appraisals.
  • Mentor and develop staff using a supportive and collaborative approach: assign accountabilities; set objectives; establish priorities; and monitor and evaluate results.

Communication

  • Ability to communicate with parents, staff, co-workers and community, and clearly convey a sincere willingness to be of service and/or be open to resolve the situation at hand.
  • Clearly explain self or answers when necessary. Take the time to ensure the message is fully understood.
  • Maintain continuous lines of communication, keeping the Facilities Manager informed of all critical issues.

Facility Operations

  • Conduct routine and periodic inspections of classroom grounds and facilities for the purpose of ensuring they are in a condition of excellence always enabling full educational use of facilities.
  • Conduct safety inspections and accident investigations for the purpose of providing safety training to appropriate personnel.
  • Assure that safety of clients, staff, and volunteers is maintained, and that all applicable, safety-related regulations are followed.
  • Confer with the center Supervisors and education management on maintenance and operations problems and make recommendations as required.
  • Determine and initiate proper action/s for expedited work requests for the purpose of ensuring compliance with agency policy, all applicable federal, state, and local laws and regulations, sound maintenance practices and priority and urgency of operations.
  • Plan for current and future needs related to owned and leased facilities and operational activities.
  • Work with various organizations to get accreditation for agency sites.
  • Maintain Material Safety Data Sheets in appropriate locations for the purpose of ensuring agency compliance with Federal, State and District legal requirements.
  • Procure equipment, supplies and materials for the purpose of maintaining an appropriate inventory and availability of required items.
  • Respond to a variety of inquiries for the purpose of identifying the relevant issues and recommending or implementing a plan of action.
  • Maintain accurate records and submit periodic reports in a timely manner.

Transportation

  • There are two (2) bus evacuation drills, in addition to the one provided to the children during their pedestrian training every program year.
  • Delegate and follow up with clerical staff assigned to transportation related assignments, scheduling of bus evacuation for each site twice a year.
  • Perform ongoing monitoring of all Federal and State transportation regulations, including but not limited to evacuation drills, pedestrian safety for parents and children.
  • Ensure all safety equipment is in vehicles at all times.

Transportation

  • Coordinate with transportation provider to ensure that all repairs, maintenance and annual inspections of all vehicles.

Personal and Professional Development

  • Assure compliance with all applicable laws, regulations, policies and procedures, and contract requirements.
  • Attend meetings or trainings as needed or required for job function.
  • Obtain all training required to comply with licensing standards and/or certifications.
  • Participate and assist in team-building efforts to create agency-wide positive work environment.

Perform other duties as assigned.

General Knowledge, Skills and Abilities

  • Ability to plan and supervise a maintenance program, materials and equipment, and working procedures and methods required in the day-by-day upkeep of buildings and grounds.
  • Strong knowledge of school bus transportation systems, combined with supervisory or management experience.
  • Working knowledge of state and local regulations governing the transportation of children to and from school.
  • Ability to coordinate efficient routes with service and educational schedules for field trips.
  • Strong oral/written communication and training skills.
  • Substantial decision making relative to personnel, safety, fiscal, and operations management.
  • Significant problem solving to ensure program and system compliance.
  • Ability to motivate employees.
  • Knowledge of Head Start Standards and federal, state and local regulations as they apply to grant funded program mandates as they apply to the facility planning and accreditation.
  • Knowledge of Davis Bacon Act, and other required contract provisions.
  • Ability to meet deadlines and perform effectively under pressure.
  • Computer literacy with ability to utilize word processing, spreadsheet, search engines, and other specialized software.
  • Strong desire to learn; self-motivated; takes initiative and can work independently.
  • Must work well under pressure.
  • Ability to be flexible with work assignments and work schedules.
  • Must enjoy working with and around children.
  • Must have the ability to read, write, and compute simple arithmetic problems effectively.
  • Must have the ability to work and maintain high standards of professional ethics with persons of different racial, ethnic, economic and social backgrounds.

Minimum Qualifications:

  • Minimum High School Diploma or GED, Associates or Bachelor Degree in business or related field desirable.
  • Three (3) years of facilities/operations experience with progressive responsibility and managing teams in multiple aspects of large facilities.
  • Minimum of two (2) years in a supervisory capacity.
  • Ability to coordinate efficient schedules with maintenance services and safety inspections.
  • Valid Texas Driver's License.
  • Will require travel using a personal vehicle.
  • Strong oral/ written communication and training skills.
  • Must pass all criminal history background checks.
