Payroll Supervisor

Key Responsibilities:
Payroll Processing:
- Supervise and oversee the preparation and processing of payroll for all employees.
- Ensure accuracy of employee pay, including wages, overtime, bonuses, deductions, and taxes.
- Manage payroll schedules, deadlines, and periodic reporting.
Compliance & Auditing:
- Maintain compliance with applicable federal, state, and local tax regulations and labor laws.
- Conduct regular audits of payroll systems and data to ensure accuracy and compliance.
- Prepare and file required tax reports and documentation (e.g., W-2s, 1099s).
Systems Management:
- Oversee the payroll software system, ensuring it operates efficiently.
- Collaborate with IT and HR departments to implement system updates or troubleshoot issues.
- Recommend and implement process improvements to streamline payroll operations.
Team Supervision:
- Lead, train, and mentor payroll staff to enhance performance and productivity.
- Delegate tasks and ensure team adherence to company policies and procedures.
- Provide guidance on complex payroll issues and resolve escalated concerns.
Employee Support:
- Address payroll inquiries and concerns from employees in a timely and professional manner.
- Communicate changes in payroll policies and procedures to staff.
- Ensure employee records, timekeeping, and benefits information are accurately maintained.
Reporting & Analysis:
- Generate detailed payroll reports for management, including labor costs, payroll trends, and variances.
- Collaborate with HR and Finance teams to align payroll with organizational objectives and budgeting.
Education:
- Bachelor’s degree in Accounting, Finance, Business Administration, or related field preferred.
Experience:
- 3+ years of payroll experience, with 1+ years in a supervisory or management role.
- Strong knowledge of payroll software systems (e.g., ADP, UKG, Paycom, or similar).
- Experience with multi-state payroll processing is a plus.
Skills:
- Comprehensive knowledge of federal, state, and local payroll laws and regulations.
- Proficiency in payroll and accounting software systems.
- Strong analytical, problem-solving, and organizational skills.
- Excellent communication and interpersonal abilities.
- High attention to detail and accuracy.
Certifications (Preferred):
- Certified Payroll Professional (CPP)
- Fundamental Payroll Certification (FPC)

- the individual’s skill sets, experience and training;
- licensure and certification requirements;
- office location and other geographic considerations;

With that said, as required by local law, Vaco believes that the following salary range referenced above reasonably estimates the base compensation for an individual hired into this position in geographies that require salary range disclosure. The individual may also be eligible for discretionary bonuses.
