The Outpatient Referral Coordinator responds to inquiry calls, completes demographics and screening tool, enters data into Wellsky, coordinates next steps with the Oceans outpatient facility staff on behalf of the caller and follow up with the caller in accordance with Oceans’ Mission, policies and procedures and Performance Improvement Standards.

Essential Functions:

Responds to all inquiry calls and referrals in a consistent and timely manner. Completes demographic and screening tool, enters all data for each inquiry/referral, and uploads all relevant documents into Wellsky. Ensure every encounter is documented thoroughly and convert appropriate inquiries into assessments for outpatient services at the appropriate Oceans location.  Follows established processes to verify outpatient insurance benefits. Utilizes the Wellsky Outpatient Scheduler to manage appointment scheduling at each Oceans location. Consistently communicate with patients and families in a manner sensitive to their age, disability and cultural needs.  Performs other duties and projects as assigned.

Requirements

Educational / Experience Requirements:

Associate degree required, Bachelor's Degree in Psychology, Social Work, Counseling or related field preferred. Minimum of 2 years experience handling inquiry calls, preferably in a call center environment for inpatient or outpatient Mental Health/Chemical Dependency services.  Electronic Medical Record experience is preferred. 

Qualifications / Skills:

Must be proficient in Microsoft Word, Outlook, and Teams. Ability to learn how to utilize an EMR. Possess a general understanding of mental health and substance abuse related conditions. Demonstrates excellent listening skills and provides appropriate information when necessary. Must be able to adjust to a fast paced environment, pivot and complete multiple tasks simultaneously and thoroughly. Demonstrates good judgment and insight in all circumstances to know when to seek input and guidance from supervisor. Must be able to function effectively and cooperatively with a variety of internal and external customers.  Willingness to work flexible shifts when needed.

Work Environment:

Subject to many interruptions. Occasional pressure due to multiple calls and inquiries. This position can be high paced and stressful; must be able to cope mentally and physically to atmosphere. Work require spending approximately 90% or more of the time inside a building that offers protection from weather conditions but not necessarily from temperature changes.
