Finance Support Specialist

Overview: We are looking for a detail-oriented and motivated Accounts Payable (AP) Specialist/Administrative Assistant to join our finance team. This role is essential in managing vendor relationships, processing payments, and providing administrative support to the Finance Department. The ideal candidate is proactive, highly organized, and thrives in a fast-paced, collaborative environment.Key Responsibilities: - Provide administrative support to the Finance Department, including managing Outlook calendars, preparing presentation materials, handling correspondence, and performing general office duties. - Process invoices for payment, assist with bank reconciliations, and generate financial reports such as AP Aging, Check Registers, and other ad hoc reports. - Research and respond to vendor and internal inquiries in a timely and professional manner. - Verify the accuracy of vendor invoices and automated payments, ensuring correct matching of purchase orders and accurate general ledger coding. - Process vendor payments via check or ACH on a scheduled basis, ensuring all payments are backed by proper documentation. - Maintain accurate records of paid and unpaid invoices, including handling cleared payment inquiries and check voiding. - Develop and maintain an organized filing system for financial records and documents for easy accessibility. - Provide supporting documentation for annual audits. - Perform additional duties as assigned to support the finance team.Qualifications & Requirements: - Location Requirement: This is not a fully remote position. Candidates must reside within a 60-mile radius of the Nashville, TN metro area. - Education & Experience: Associate degree in Accounting or a related field (or equivalent experience). - Accounts Payable Expertise: Minimum of 3 years of AP experience with a solid understanding of accounting and bookkeeping principles. - Technical Skills: Proficiency in Microsoft 365 (formerly Microsoft Office Suite), particularly Excel and PowerPoint. Experience with accounting software is required; Sage Intacct experience is strongly preferred. - Strong Communication Skills: Excellent verbal and written communication skills with the ability to interact professionally across all levels of the organization. - Organizational & Time Management Skills: Ability to multitask, prioritize, and meet deadlines while maintaining attention to detail. - Problem-Solving Ability: Creative, flexible, and proactive in anticipating and resolving issues. - Confidentiality & Professionalism: Strong customer service mindset with the ability to handle sensitive information with discretion.
