Overview
We are seeking a professional and organized Office Assistant to join our team. This role is vital in ensuring smooth office operations, providing exceptional customer service, and supporting administrative functions. The ideal candidate will possess strong office management skills, proficiency in computer literacy, and excellent communication abilities. Bilingual skills are a plus, as well as experience with scanning and saving documents as needed. This position offers an opportunity to work in a dynamic environment where attention to detail and organizational skills are highly valued.
Schedule is Monday - Friday 9am to 5:30pm
Dress attire is Business Casual
This can be a potential Temp to Hire position
Pay is between $16.50 to $17.50
Responsibilities
- Greet visitors and clients at the front desk with professionalism and courtesy
- Manage multi-line phone systems, screen calls, and direct inquiries appropriately
- Perform data entry, filing, and document proofreading to ensure accuracy
- Utilize Microsoft Office, Google Workspace, and QuickBooks for administrative tasks
- Handle customer support inquiries via phone, email, or in-person interactions
- Assist with office management duties including supply ordering and organization, scanning documents for the IT department
- Support clerical tasks such as typing correspondence, managing mail, and maintaining records
- Provide office support
- Maintain a clean and organized reception area to promote a welcoming environment
Requirements
- Proven office experience with strong clerical skills and organizational abilities
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Experience with multi-line phone systems and front desk operations
- Strong computer literacy including data entry and document proofreading skills
- Excellent customer service and phone etiquette skills
- Ability to manage calendars efficiently and prioritize tasks effectively
- Bilingual abilities are preferred but not required
- Previous office/ clerical experience is a plus
- Strong organizational skills with attention to detail and time management capabilities
- Ability to work independently while maintaining professionalism in a fast-paced environment
