Position Summary: 

The Recruiting and Onboarding Coordinator supports the full recruitment and onboarding lifecycle, ensuring an efficient and positive experience for all candidates and new hires. The role involves managing administrative tasks, scheduling, and documentation within the Applicant Tracking System (Greenhouse) and the Human Capital Management platform (UKG). 

Note: This is a six-month contract role with the possibility to convert to a full-time role based on business needs.  

Position Responsibilities: 

  • Serve as the main point of contact for candidates throughout the onboarding process, providing timely updates and information. 
  • Post and update job descriptions on various job boards and the company career page. 
  • Maintain the integrity of candidate data in Greenhouse, ensuring accurate records and real-time tracking of candidate status. 
  • Manage communication with applicants and hiring teams, including sending onboarding confirmations and coordinating candidate logistics and equipment.  
  • Coordinate and track the completion of all pre-employment and onboarding paperwork through UKG and Greenhouse's integrated systems. 
  • Collaborate with the hiring manager and other departments, such as IT and facilities, to ensure new hires have necessary equipment, software access, and a prepared workspace before their start date. 
  • Act as a central resource for new hires regarding company policies and procedures.  
  • Ensure all recruiting and onboarding activities are compliant with company policies and legal regulations. 
  • Generate reports on key recruiting and onboarding metrics from Greenhouse and UKG. 
  • Assist in special projects aimed at improving the recruitment and onboarding experience. 
  • Maintain and update documentation related to HR policies and procedures. 
  • Responsible for adherence to the Capital Rx Code of Conduct including reporting of noncompliance. 

Minimum Qualifications: 

  • 1–3 years of experience in an HR or administrative support role, with experience in recruitment preferred. 
  • Proficiency with Applicant Tracking Systems (ATS), specifically Greenhouse, and HRIS platforms like UKG. 
  • Excellent organizational skills and strong attention to detail. 
  • Exceptional time-management and prioritization skills, with the ability to manage multiple tasks in a fast-paced environment. 
  • Ability to handle sensitive and confidential information with discretion.

  • Bachelor's degree or equivalent preferred 
Salary Range $35—$40 USD
