Manager, Finance and Operations

Overview

Wayzata Bay Spice Company is seeking a dynamic and detail-driven Manager, Finance and Operations to oversee our financial management, human resources administration, and select customer account operations. This position plays a critical role in supporting the company's financial health, regulatory compliance, and customer relationships. The ideal candidate combines strong accounting expertise with sound business judgment and enjoys working in a collaborative, fast-paced environment.

This position manages the Warehouse Supervisor and Operations Supervisor and reports directly to the company owners.

KEY RESPONSIBILITIES

Accounting & Financial Management

• Responsible for all financial accounting, reporting, and analysis using QuickBooks and Excel.
• Train office staff to assist in financial operations relevant to their job responsibilities.
• Ensure all vendor payments are made securely using ACH whenever possible to mitigate fraud risks.
• Monitor monthly financial reports and provide analysis and recommendations to company owners.
• Compute pricing for customer projects
• Complete year-end financial close and prepare for tax filing activities.
• Maintain accurate records for accounts payable, receivable and petty cash
• Process expense reports as required
• Reconcile bank accounts
• Process payroll
• Maintain customer and product pricing; review and adjust pricing annually or as needed.

Human Resources Administration

• Ensure compliance with all State and Federal laws and regulations.
• Maintain and update the Employee Handbook annually or as required by legislative changes.
• Oversee personnel records and ensure all required documentation is complete, current and secured.
• Support employee relations, assist in resolving workplace issues, and provide guidance to managers as needed.
• Manage recruitment, hiring and onboarding of new employees

Customer Account Management

• Serve as the primary contact for, and manager of, smaller customer accounts.
• Receive incoming orders from current customers.
• Build and maintain strong customer relationships through regular communication, needs assessment and new product updates.
• Oversee customer service for assigned accounts to ensure customer satisfaction and customer retention.

ACCOUNTABILITIES

• Successful completion of ServSafe and PCQI training and certification.
• Accurate and timely preparation of financial statements and management reports.
• Timely and accurate completion of orders
• On-time bill payment
• Compliance with human resource and employment regulations, State and Federal
• Ensure computer updates and backups occurs
• Consistently strives to achieve high levels of customer satisfaction by ensuring every interaction meets or exceeds customer expectations.
• Accountable for maintaining cost efficiency in production by managing labor, materials, packaging and facility related expenses.
• Works in partnership with owners and team to identify new revenue channels and develop actionable plans to improve profitability and operational efficiency.
• Timely and accurate payment of all sales tax, property tax, state and federal obligations

QUALIFICATIONS

• College education
• Proficiency in QuickBooks and Microsoft Excel required.
• Prior experience in accounting, human resources, sales and project management preferred
• Demonstrated computer skills
• Food industry experience a plus
• Higher-order thinking and organizational skills
• Works well independently and collaboratively with team members
• Must be able to work in a fast-paced environment with shifting priorities

REPORTING RELATIONSHIP

• Reports directly to the Owners of Wayzata Bay Spice Company

Job Type: Full-time

Pay: $65, $75,000.00 per year
