We are seeking a highly skilled and proactive Executive Assistant to support our Chief Human Resources Officer (CHRO). This role requires exceptional judgment, organization, and the ability to anticipate needs before they arise.
Position OverviewThe Executive Assistant is a strategic partner to the CHRO, enabling her to focus on high-impact work by managing communication, scheduling, projects, and key priorities. This role interacts daily with executives, corporate teams, field leadership, and external partners—requiring professionalism, strong communication skills, and absolute confidentiality.
Key ResponsibilitiesExecutive Support & Communication
- Manage complex calendars and prioritize scheduling aligned with strategic priorities.
- Draft, edit, and manage communications on behalf of the CHRO.
- Organize digital files and track follow-ups to ensure nothing is missed.
- Prepare agendas, briefs, and meeting materials.
- Manage logistics for meetings, trainings, and events.
- Attend key meetings to capture notes, decisions, and action items.
- Coordinate travel arrangements, accommodations, and detailed itineraries.
- Adjust quickly to changes and ensure smooth execution of plans.
- Manage expense reports and reimbursement processes.
- Lead and support cross-functional projects involving HR and corporate teams.
- Track deliverables, anticipate roadblocks, and ensure timely follow-through.
- Prepare presentations, reports, and briefing documents.
- Serve as the primary point of contact for executive leaders, partners, and vendors.
- Build strong working relationships with EAs across the organization.
- Represent the CHRO with professionalism, sound judgment, and discretion.
- Maintain organized digital systems and secure document management.
- Improve workflows and leverage AI tools to enhance productivity.
- 5–7+ years of Executive Assistant experience supporting a C-level leader.
- Expert-level calendar management, communication management, and logistics coordination.
- Strong project management skills with the ability to juggle multiple priorities.
- Excellent written and verbal communication skills.
- High emotional intelligence and ability to handle confidential information.
- Strong technology and AI proficiency (calendar tools, project platforms, productivity AI).
- Experience in fast-paced environments; multi-unit retail or automotive a plus.
