Position summary

The Benefits Specialist supports the Benefits Manager in administering employee health and welfare programs across multiple dental practices. Primary responsibilities include benefits reconciliation, employee support for medical, 401(k), and workers' compensation questions, and preparing for and supporting benefits audits. The role ensures accurate benefits administration, timely payroll feeds, and excellent service to employees and vendors.

Key responsibilities

  • Benefits reconciliation — Reconcile carrier invoices, premium bills, and payroll deduction reports each pay period; investigate and resolve discrepancies.
  • Employee benefits support — Serve as first point of contact for employees on medical, dental, vision, 401(k), FSA/HSA, life/AD&D, LTD, and workers' compensation inquiries; document issues and escalate complex cases to the Benefits Manager.
  • Enrollment administration — Process open enrollment, new hire enrollments, qualifying life event changes, and terminations in the benefits system; ensure carriers receive timely and accurate eligibility files.
  • 401(k) coordination — Assist with participant communications, deferral changes, eligibility tracking, and reconciliation with plan recordkeepers.
  • Workers' compensation support- Log injury reports, coordinate initial claims intake with carriers, maintain case files, and support return to work documentation.
  • Audit and compliance support — Prepare materials for benefits audits and regulatory reviews, support ACA and ERISA documentation requests, and maintain compliance records.
  • Vendor and carrier liaison — Communicate with brokers, carriers, TPAs, and third‑party administrators to resolve billing, eligibility, and claims issues.
  • Payroll coordination — Provide timely payroll deduction feeds, validate deduction accuracy, and work with payroll to correct errors.
  • Reporting and data integrity — Maintain benefits data in HRIS and benefits platforms; produce reconciliation reports, enrollment summaries, and ad hoc analytics for the Benefits Manager.
  • Process improvement — Recommend and help implement process enhancements, documentation standards, and employee communications improvements.

Required qualifications

  • Experience — Minimum of three years in benefits administration supporting a multi‑location employer.
  • Education — Associate degree or related experience
  • Technical skills — Proficiency with HRIS or benefits platforms (examples Paycom, ADP, Oracle, Workday) and intermediate Excel skills.
  • Regulatory knowledge — Working knowledge of ACA reporting, COBRA basics, 401(k) plan administration fundamentals, and workers' compensation processes.
  • Communication skills — Strong verbal and written communication with demonstrated customer service orientation.

Preferred qualifications

  • Certifications such as CEBS, SHRM-CP, or PHR.
  • Prior experience in healthcare, multi‑practice organizations, or DSOs.
  • Experience with benefits reconciliation and vendor billing disputes.
  • Familiarity with benefits audits and compliance documentation.
