Requirements
The Manager of the Executive Office provides strategic administrative and operational support to the CEO, President/COO, and CFO. This role combines executive-level coordination, leadership, and project management to enable the organization's mission and strategic objectives. The Manager of the Executive Office will serve as a key partner to executives, acting as a liaison with internal teams, the Board of Directors, and external stakeholders.

Key Responsibilities

  • Act as a strategic partner to C-suite executives, managing complex schedules, ensuring timely arrangements for meetings, appointments, and travel, while anticipating and preventing conflicts.
  • Provide non-routine project based and administrative support for the C-suite executives, handling a high volume of competing requests (via multiple clients) that require professional discernment on appropriate urgency and prioritization to complete. This includes managing projects by tracking deadlines, setting reminders, and following up on assigned tasks to ensure timely completion.
  • Organize and manage complex travel itineraries, accommodations, and related arrangements; follow-up processing of detail-oriented expense reports and ensure accurate reimbursement tracking.
  • Prepare, proofread, and process documents, including reports, presentations, correspondence, and ensuring accuracy and compliance with company policies.
  • Independent coordination of multiple on-going conferences and off-site meetings and events. Coordinate all activities for the Board of Directors to include preparation of meeting agendas, materials distribution, and recording/distribution of minutes to ensure action items are documented accurately and promptly completed by appropriate parties.
  • Serve as primary liaison between executives and internal/external stakeholders, representing the executive professionally and relaying messages accurately. Comfortable working in a high volume, fast paced private equity environment.
  • Securely handle and protect sensitive company and personal information, always maintaining discretion and confidentiality.
  • Oversee operational efficiency and manage vendor relationships to support strategic initiatives. Continuously improve administrative procedures for Executive Management.
  • Lead and mentor team of 3-5 administrative professionals, fostering a collaborative and high-performance environment.
  • Motivation, management, development and performance review accountability of Administrative Staff.
  • Initiate and continuously improve administrative procedures to drive impact, add value, and improve efficiency for broader organizational goals.

Qualifications

  • Bachelor's degree in business administration, Communications, or a related field
  • Minimum of 5 years in an executive-level administrative support role, supporting C-Suite executives
  • Experience managing or mentoring administrative teams.
  • Sophisticated communication skills, both verbal and written, with an understanding of audience and organizational nuance
  • Strong organizational and time management skills
  • Ability to manage multiple concurrent tasks and/or projects with the highest levels of professionalism, confidentiality, timely turnaround and client service.
  • A 'self-starter' mindset that takes initiative to continuously improve processes for the ongoing effectiveness of the C-suite and the organization as a whole
  • Polished, professional and service-oriented demeanor balanced with a directive confidence that assists in moving tasks and projects toward completion.
  • Comfort functioning in a role that requires a high degree of flexibility with the ability to independently interpret policies and solve non-routine, complex issues in an autonomous manner. Confidence to request clarification or assistance when difficulties arise.
  • Confidence and professional poise as related to internal Board-facing interactions/responsibilities and other external high-profile collaborators.
  • Foster positive relationships with internal teams, clients, and external partners, ensuring high-quality service and responsiveness to meet executive and organizational needs.
