Operations Manager – Tax
As the Operations Manager with our Tax team, you will play a key role in driving the overall administration, strategic planning, and operational efficiency of the Tax Department. This role involves close collaboration with Tax Partners, the COO, senior leadership, and cross-departmental teams to ensure the department runs smoothly and meets both internal and regulatory requirements.
Location: Fully Remote (with occasional travel to our Irvine, CA headquarters for meetings, trainings, or firm events)
What you will be doing:
- Oversee engagement scheduling, staffing allocation, and resource management for the Tax Department.
- Manage billing and collections for Tax clients, ensuring accurate and timely invoicing in collaboration with engagement leadership.
- Lead internal communications within the department, aligning initiatives with firmwide strategy.
- Supervise and streamline administrative processes to enhance productivity and service quality, delegating to administrative support staff as needed.
- Ensure compliance with regulatory bodies (AICPA, NASBA, state boards) regarding continuing education and industry requirements.
- Oversee tracking and reporting of CPE for Tax team members to maintain licensing compliance.
- Collaborate with Tax Partners, Training Committee, and Management to plan training events, webinars, and in-person learning opportunities.
- Lead special projects such as software implementations, process automation, budgeting, policy updates, and state controller reporting.
- Manage department-wide initiatives focused on client service improvements, business development, and internal efficiencies.
- Oversee new-hire onboarding, departmental training schedules, and team meetings to ensure a seamless transition for new employees.
- Support employee engagement and retention initiatives within the Tax Department.
- Partner with leadership to foster a positive work environment and enhance team collaboration.
- Coordinate scheduling for team meetings, Partner appointments, and committee check-ins.
- Plan and execute firm-wide and departmental events; maintain vendor relationships and manage travel logistics, budgets, and data.
- Arrange travel (flights, hotels, transportation, reservations) for Tax Partners attending client meetings, board events, trainings, and conferences.
- Provide software and program support for PCS, CCH, Compass, LCvista, Expense Reports, and other department-specific tools.
- Manage new-client onboarding, including PCS updates, scheduling, and project initiation tracking.
- Oversee daily administrative functions and the Tax Administrative Assistant (AA) and Tax Operations Assistant (OA), including scheduling, time-off management, development, and performance reviews.
- Other duties as assigned.
Preferred Qualifications:
- Education: High school diploma or GED required; Bachelor's degree preferred.
- Experience:
- 5+ years of professional services firm operations or administrative experience required.
- Experience managing multiple projects and deadlines in a fast-paced environment.
- Skills & Technical Knowledge:
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams) required.
- Familiarity with Practice CS and Power BI preferred.

- Excellent organizational, time management, and multitasking abilities.
- Strong communication skills—both verbal and written.
- Demonstrated ability to lead, coach, and develop administrative staff.
