Founded in 1985, NW Children's Foundation (NWCF) is a public foundation based in Seattle, Washington. Position Summary

NW Children's Foundation seeks a highly organized and detail-oriented
Programs & Operations Associate
to keep our office, systems, and processes running smoothly.

The
Programs & Operations Associate
oversees administrative systems, coordinates logistics, and maintains the accuracy and integrity of our data and workflows. The responsibilities of this role shift naturally throughout the year, with focused periods for grantmaking, programs, and events
.
This position is primarily based in our Seattle office, with some flexibility to work remotely as appropriate.

Key Responsibilities

Operations & Administration:

  • Provide daily office support as one of two on-site staff, serving as front desk contact for calls, emails, visitors, and general inquiries.
  • Oversee mail, supplies, vendor coordination, and office technology.
  • Maintain organizational systems and procedures to ensure smooth office operations, including calendars, files, standard operating protocols (SOPs), and coordination with building management.
  • Coordinate logistics for board and staff meetings and functions, including scheduling, materials, and follow-up.
  • Participate in gift processing and acknowledgement, including data entry in donor database (Bloomerang)
  • Support financial operations, including financial batching, bill submission and receipt reconciliation.

Grantmaking:

  • Administer NWCF's grants management system (Foundant): build and update processes, manage records, troubleshoot issues, and ensure data accuracy.
  • Generate reports and data exports to support board decision-making, communications, and donor reporting.
  • Serve as primary contact for applicants and grantees, providing timely, clear, and professional communication.
  • Support the Grants Committee during NWCF's two funding cycles: prepare materials, track timelines, and facilitate virtual and in-person meetings.
  • Maintain grantmaking resources such as calendars, training tools, and documentation to ensure consistency and transparency.

Development & Event Support:

  • Assist with planning and logistics for NWCF's Annual Forum and other educational events.
  • Support program evaluation efforts, including surveys and reporting.
  • Assist with Annual Gala preparation and execution, including registration, volunteer coordination, and post-event follow-up.
  • Coordinate day-of logistics and liaise with volunteers and external partners as needed.

Qualifications:

  • 2+ years' experience in nonprofit administration, operations, or program coordination (experience with grant administration a plus).
  • Exceptional organizational skills with ability to manage multiple projects and meet deadlines.
  • Strong proficiency in database and information management; ability to administer, customize, and troubleshoot systems (Foundant, Bloomerang or similar CRM preferred).
  • Skilled in Microsoft Office and Google Workspace; comfortable learning and mastering new software quickly.
  • Strong organizational skills with the ability to manage multiple projects and meet deadlines.
  • Excellent written and verbal communication skills; customer-service orientation.
  • Flexible, collaborative, and proactive—thrives in a small-team environment where everyone contributes.

Salary and Benefits:

  • $55,000 - $60,000 annual salary (depending on experience and qualifications)
  • Benefits include Medical, Dental, Vision, Life Insurance, 401K and FSA
  • 11 Federal Holidays and 15 paid time-off days per year
  • This role is primarily based in our Seattle office, with some flexibility to work remotely as appropriate.
  • Work schedule is generally Monday through Friday, 9:00 am to 5:00 pm, with some evening and weekend meetings and events.
