Accounts Payable Staff Accountant

STAFF ACCOUNTANT - AP/AR FOCUS

THE ROLE

We are seeking a detail-oriented Staff Accountant to join our accounting team, with primary focus on Accounts Payable and Accounts Receivable. You'll report to our Senior Accountant and play a key role in our day-to-day financial operations. This position offers an excellent opportunity for an accounting professional who wants hands-on experience across multiple functions in a supportive, collaborative environment.

Work Schedule: Core hours 8am-4:30pm, primarily in-office at our location near Downtown Dallas with remote flexibility up to 6 days per month as approved by manager.

WHAT YOU'LL DO:

Accounts Payable & Vendor Management:

• Manage vendor setup and maintenance, including W-9 collection, and payment terms verification.
• Process invoices accurately and timely using 2-way matching principle. Ensuring proper coding and classification. Apply Vendor Credit when appropriate.
• Organize and maintain digital filing systems for all vendor documentation.
• Process monthly contractor invoices.
• Review & Monitor corporate card transactions and reconciliations.
• Review and approve employee expense submissions with complete documentation.

Accounts Receivable & Collections:

• Create and send invoices for in-house hospital billing via QuickBooks.
• Monitor accounts receivable aging, work to minimize outstanding balances.
• Set up automated payment reminders and follow up on overdue accounts.
• Contact clients by phone for accounts 30+ days past due.

General Support:

• Maintain organized and accurate financial records.
• Collaborate with the accounting team on month-end activities.
• Assist with special projects and process improvements as needed.

WHAT YOU NEED

Experience & Skills:

• Minimum 2+ years of professional accounting experience with AP/AR focus.
• Proficiency with QuickBooks.
• Experience with Microsoft Excel, Word, Outlook, and Teams.
• Strong attention to detail and accuracy in data entry.
• Excellent organizational and time management abilities.
• Ability to work independently and collaboratively.
• Clear written and verbal communication skills.
• Problem-solving mindset with eagerness to learn new systems.

Nice to Have:

• Healthcare industry experience.

Education:

No degree required, but Accounting, Finance, or Economics degree preferred - we value practical experience and demonstrated skills.

WORK ENVIRONMENT

This position is based near Downtown Dallas, Texas, Core working hours are 8:00 AM - 4:30 PM with remote flexibility available with manager approval. You'll work closely with our Senior Accountant and be part of a collaborative accounting department within our administrative team.
