Position Overview:
Give Back is seeking a highly detail-oriented and proactive Fund Development Associate to support our fundraising efforts across government, foundation, corporate, and individual giving. This role is ideal for someone who finds satisfaction in precision, thrives in a fast-paced environment, and maintains unwavering focus on accuracy and organization.
In many of the grants we pursue, even a minor oversight—such as omitting a required form, uploading a file with the wrong name, submitting documents in the wrong order, missing a signature, or referencing a job title in the proposal narrative that doesn't exactly match the attached job description—can result in immediate rejection. This position is directly responsible for ensuring that no proposal is declined due to preventable technical errors. Attention to detail is not just important—it is the heart of this role, and performance will be evaluated accordingly.
Reporting to the Chief of Strategy and Growth, the Fund Development Associate will play a key role in identifying and pursuing funding opportunities, maintaining documentation, coordinating proposal submissions, and ensuring our development systems remain thorough and up to date.
Primary Duties & Responsibilities
Prospecting and Research
Identify and track funding opportunities from government agencies, foundations, corporations, and individual donors.
- Maintain a working pipeline of prospects in Salesforce, updated with relevant status, deadlines, and notes.
Schedule and coordinate meetings with current and potential funders.
Proposal Coordination and Submission
Manage submission of grant proposals in accordance with funder requirements, most often through online grants portals.
- Ensure the timely completion and submission of proposals and application renewals (excluding required reporting).
- Identify proposal requirements that require significant lead time—such as letters of support from partners—and flag these early for internal action.
- Rigorously review each application for accuracy, completeness, formatting, and consistency to prevent errors such as missing forms, incorrect file names, misordered attachments, missing signatures, or job title inconsistencies.
Maintain detailed checklists and timelines for each application to ensure that no component is missed.
Documentation and Attachment Management
Collect, organize, and update all required application attachments, including IRS determination letters, staff job descriptions and resumes, tax documents, organizational charts, board lists, financial statements, and organizational policies.
Ensure that all documents are current, accurately labeled, and formatted according to funder specifications.
Data and Information Management
Research and compile relevant data and reports to support applications, including localized statistics across all counties where Give Back operates.
Maintain and regularly update our Salesforce database of grant submissions, application statuses, deadlines, and outcomes.
Administrative Support
Coordinate internal preparation and follow-up for funder meetings.
- Schedule meetings and manage logistics for the Chief of Strategy and Growth related to fund development efforts.
- Support communication with funders and stakeholders as needed to keep the proposal process moving forward.
Qualifications:
- Demonstrated experience submitting government grant proposals is required.
- At least 2 years of experience in nonprofit development, grant coordination, or a related role.
- Exceptional attention to detail—small errors are unacceptable in this role and performance will be evaluated on maintaining high levels of accuracy and thoroughness.
- Proven ability to manage multiple concurrent deadlines and navigate complex submission requirements.
- Familiarity with foundation and corporate fundraising is a plus.
- Proficiency in Salesforce or similar CRM/database systems.
- Strong written and verbal communication skills, with a collaborative, solutions-oriented mindset.
- Proficiency using Microsoft Office (Word, Excel, and PowerPoint) and Salesforce.
- Background check (State child abuse/neglect check, Federal background check, public domain search, national criminal background check).

Pay: $45, $55,000.00 per year
