Remote, Oregon, United States Tidal Financial Group Full time $60,000 - $80,000 per year

We are prioritizing candidates who are located within proximity to Chicago, IL; Milwaukee, WI; New York City, NY; and West Palm Beach, FL.

The Tidal Financial Group is a leading ETF investment technology platform dedicated to creating, operating, and growing ETFs. We combine expertise and innovative partnership approaches to offer comprehensive, value-generating ETF solutions.

Our platform offers best-in-class strategic guidance, product planning, trust and fund services, legal support, operations support, marketing and research, and sales and distribution services.

About the role

Tidal Financial Group is seeking a Facilities & Office Operations Manager to oversee the development, maintenance, and operations of our physical office spaces while supporting a primarily remote workforce.

In our distributed environment, this role ensures that our offices function as flexible, well-maintained hubs for collaboration, meetings, and events — and that all physical spaces operate smoothly even when team members aren't on-site. This person will remotely manage vendors, coordinate real estate and build-out projects, monitor security and maintenance systems, and serve as the main liaison between our offices, landlords, and internal teams.

They'll also help connect the dots between our physical spaces and our remote work experience — making sure that whenever we gather in person, the space is ready, safe, and aligned with how our teams work today.

This is a part-time, salaried role (20 hours/week guaranteed) with flexibility in scheduling. The role is primarily remote but may occasionally require on-site visits to any of our offices as needed.

What you'll do

Office Expansion & Setup

  • Partner with real estate agents to identify, negotiate, and secure new office spaces.
  • Manage office build-out projects including space planning, layout, and coordination with engineering teams.
  • Oversee installation of key systems such as security, access control, cameras, and electrical infrastructure, ensuring vendor work meets quality and safety standards.
  • Act as on-site representative or remote project lead during office openings, expansions, and renovations.

Strategic Office Use & Space Planning

Even if offices aren't full-time work locations, they can serve as valuable hubs. This role will:

  • Design and maintain flexible spaces for drop-in work, small meetings, and team gatherings — ensuring that when people do come in, the experience feels intentional and productive.
  • Coordinate "office days" or mini offsites, including scheduling, supplies, catering, and tech setup for hybrid participation.
  • Track utilization patterns (how often and how many people use the space) to inform whether the company should expand, downsize, or reconfigure layouts.

Vendor & Landlord Management

  • Serve as the primary contact for landlords, handling communications related to leases, building maintenance, and shared services.
  • Identify, vet, and manage vendors including exterminators, electricians, cleaners, and maintenance contractors.
  • Determine which responsibilities fall under landlord obligations versus company expenses, coordinating payment and contract approvals accordingly.
  • Build and maintain strong relationships with all external partners to ensure responsive and reliable service.

Remote-Friendly Systems & Vendor Coordination

Because the role itself is remote, this person will:

  • Manage remote monitoring tools (camera systems, HVAC dashboards, energy tracking) to handle much of the facilities oversight digitally.
  • Direct on-site vendors via video calls or remote access tools, ensuring work gets done without needing to be physically present each time.
  • Develop vendor playbooks so that recurring maintenance (cleaning, security, pest control) runs smoothly without constant intervention.

Systems Oversight & Maintenance

  • Monitor and maintain operational readiness of all security and facility systems, leveraging remote monitoring tools whenever possible.
  • Partner with the tech team to ensure real-time alerting and response protocols for incidents such as power outages, unauthorized access, or equipment issues.
  • Coordinate maintenance schedules, inspections, and repairs to ensure minimal disruption to business operations.

Business Continuity & Compliance

In a distributed model, someone still needs to ensure physical compliance and emergency readiness:

  • Oversee fire safety, signage, and building access logs to meet local requirements.
  • Maintain disaster and emergency protocols, including coordination with IT and leadership to protect assets and data in the event of outages or incidents.
  • Audit physical security practices and ensure policies extend appropriately to hybrid employees and visitors.

General Facilities Operations

  • Manage daily facilities requests, including access, repairs, and safety-related needs.
  • Track and log hours and tasks performed, aligning with part-time expectations.
  • Support occasional company events or in-person gatherings by coordinating setup, supplies, and vendor support.
  • Maintain centralized documentation of vendor contracts, maintenance logs, and compliance checklists.

Qualifications

  • 5+ years of experience in facilities management, office operations, or workplace services.
  • Proven success managing real estate agents, contractors, and technical vendors.
  • Strong understanding of building systems (electrical, HVAC, security, fire safety, etc.).
  • Excellent communication, organization, and project management skills.
  • Comfortable working autonomously in a remote-first environment while managing on-site projects as needed.
  • Ability to travel occasionally to company offices.

Work Schedule & Expectations

  • Part-time, salaried with a guaranteed 20 hours per week.
  • Expected to be available Monday through Friday for real-time coordination and issue resolution, though workload will fluctuate based on ongoing projects.
  • Must maintain flexibility to respond to facilities needs as they arise.
