Medical Front Desk Receptionist

Job Description
We are seeking a professional and friendly Medical Front Desk Receptionist to be the first point of contact for our patients, visitors, and staff. The ideal candidate will provide excellent customer service, manage administrative tasks, and ensure the smooth flow of daily operations in our medical office. This individual will have strong communication and organizational skills and contribute to providing an exceptional experience for our patients.
Key Responsibilities:
- Greeting Patients: Welcome patients in a friendly, compassionate, and professional manner. Ensure that patients feel comfortable and informed.
- Scheduling Appointments: Answer phone calls, schedule, reschedule, and confirm appointments for patients. Ensure that appointment times are appropriately allocated and in compliance with physician schedules.
- Patient Check-In: Verify patient information, insurance details, and medical history. Ensure that necessary documents are completed before seeing the healthcare provider.
- Medical Record Management: Maintain and update patient files in the Electronic Health Record (EHR) system accurately and in compliance with privacy regulations.
- Billing and Insurance Coordination: Verify insurance information, assist with billing inquiries, and process patient payments. Coordinate with insurance companies as needed.
- Communication: Answer patient inquiries regarding appointments, billing, medical policies, and procedures. Communicate effectively with medical staff to relay patient information as necessary.
- Administrative Support: Assist with general office duties, including filing, faxing, and scanning. Maintain a clean and organized front desk area.
- Compliance: Ensure that the front desk adheres to all health and safety regulations, as well as HIPAA and other privacy standards.
Qualifications:
- Education: High school diploma or equivalent required. Additional administrative or medical office training is a plus.
- Experience: Prior experience in a medical office, healthcare setting, or customer service is preferred.
- Skills:
- Strong communication skills (both verbal and written).
- Proficient with office software (Microsoft Office, EHR systems, etc.).
- Knowledge of medical terminology and basic healthcare insurance processes is a plus.
- Ability to multitask in a fast-paced environment.
- Excellent organizational and time management skills.
- Strong attention to detail.
- Professional appearance and demeanor.
- Certifications (Optional): Medical Assistant, CPR/First Aid, or other relevant certifications.
- Working Conditions:
- Regular office hours with occasional weekend shifts depending on clinic hours.
- Occasionally heavy lifting of office supplies or files.
- Must be able to work in a busy, high-pressure environment while maintaining a positive attitude.
