Overview:

We're looking for a Maintenance Coordinator to join our Maintenance team in Bend, Oregon. This role is the operational hub of our maintenance department — coordinating, assigning, and tracking all work orders across our managed portfolio. You'll support the Operations Manager, ensure maintenance requests are handled efficiently, manage supplies and vendor schedules, and keep our systems organized and compliant. This position is ideal for someone with strong organizational and communication skills who enjoys keeping teams and systems running smoothly.

What You will Do:

  • Work Order Coordination: Assign, prioritize, dispatch and track maintenance work orders using Yardi Facilities Manager (or equivalent). Monitor technician progress, adjust priorities for emergencies, and ensure accurate billing and recordkeeping.
  • Oversight & Compliance: Track completion and compliance of work orders, maintain performance data, and escalate issues per company policy.
  • Inventory & Purchasing: Monitor maintenance supplies and tools, perform audits, reorder inventory as needed.
  • Vendor Scheduling: Coordinate annual inspections (Fire-Life-Safety, elevators, etc.) and communicate testing schedules with tenants and staff.
  • Administrative Support: Compile reports, track budgets, organize weekly safety and operations meetings, maintain departmental records and seasonal maintenance schedules.
  • Communication: Serve as the first point of contact for maintenance technicians and escalate issues appropriately.

Desired Skills & Traits:

Required:

  • 2+ years of experience in property/facilities/maintenance coordination (commercial real estate or building management preferred)
  • High school diploma or equivalent
  • Strong organizational and communication skills
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Working knowledge of Yardi or similar facilities management software
  • Basic understanding of building systems (HVAC, plumbing, electrical)
  • Associate's or bachelor's degree
  • Experience managing vendor compliance, scheduling and contract tasks
