Responsibilities

  • Oversee daily office operations, ensuring all administrative functions run seamlessly and efficiently.
  • Manage calendar scheduling for executives and team members, coordinating meetings, appointments, and company events with precision.
  • Supervise administrative staff, providing training, guidance, and support to foster a high-performing team.
  • Coordinate event planning activities for company meetings, training sessions, and special events to promote engagement and collaboration.
  • Handle vendor management by negotiating contracts, overseeing service delivery, and maintaining positive relationships with suppliers.
  • Handle Accounts receivables for credit accounts.
  • Plan follow up calls to lead in accounts receivabales.
  • Assist Purchasing Director in incoming Accounts Payables Purchase Orders from Vendors.
  • Maintain accurate bookkeeping records using QuickBooks or similar accounting software; oversee payroll processing in collaboration with HR or finance teams.
  • Manage office supplies inventory, order necessary materials, and ensure the workspace remains organized and welcoming.
  • Supervise front desk operations including multi-line phone systems, phone etiquette, visitor management, and general reception duties.
  • Implement filing systems—both digital and physical—to ensure easy retrieval of documents while maintaining confidentiality standards.
  • Assist with budgeting activities by tracking expenses and preparing reports to support financial planning efforts.
  • Support medical office management tasks if applicable, including appointment scheduling and patient record organization.
  • Ensure compliance with office policies and procedures while fostering a positive work environment that encourages teamwork and professional growth.

Experience

  • Proven experience in office management or administrative leadership roles within a professional setting.
  • Demonstrated supervisory experience managing teams or staff members effectively.
  • Strong proficiency in QuickBooks for bookkeeping and payroll management; familiarity with other accounting or HR software is a plus.
  • Extensive experience in schedule management, calendar coordination, and event planning to support organizational needs.
  • Skilled in vendor management—negotiating contracts, evaluating service quality—and maintaining productive supplier relationships.
  • Background in human resources functions such as onboarding, employee records management, training & development initiatives.
  • Familiarity with medical office procedures is advantageous but not required; relevant experience will be considered favorably.
  • Excellent communication skills—both verbal and written—and exceptional organizational abilities to handle multiple priorities simultaneously.
  • Experience working with multi-line phone systems, front desk operations, filing systems (digital & physical), and general clerical duties in an office environment.
