Title: Part-Time Accounts Payable Specialist

We are a custom lighting manufacturer & global distributor. We combine design, production, sourcing, and logistics to deliver high-quality lighting solutions globally.

Role Overview

The AP Specialist will manage all vendor payables using Epicor Eclipse (often referred to as "Solar Eclipse"), ensure payments are accurate and timely, maintain vendor relationships, and support weekly cash flow operations. You will collaborate internally via Asana and externally with vendors, helping the company scale.

Key Responsibilities

Payables & ERP Management

  • Process and enter invoices in Epicor Eclipse / Solar Eclipse (distribution ERP) with matching, coding, and validation.
  • Reconcile vendor statements to ensure no discrepancies.
  • Prepare weekly payment runs and manage cash flow planning via Eclipse.
  • Maintain digital records of invoices, purchase orders, and approvals.

Vendor Relations & Strategy

  • Serve as liaison for vendor accounts: negotiate payment terms, resolve invoice disputes, and cultivate positive relationships.
  • Gather and update vendor documentation (tax forms, contact info, etc.).
  • Work with management to develop strategies for vendor partnerships and credit optimization.

Internal & External Communication

  • Use Asana to coordinate tasks and communicate with Ideoli team members on project/vendor status.
  • Provide status updates, payment forecasts, and vendor issues to management.
  • Collaborate with procurement, operations, and projects teams to verify goods received and service delivery before payment.

Cash Flow & Reporting

  • Monitor and forecast short-term cash needs for vendor payments.
  • Produce weekly AP reports: aging, upcoming disbursements, vendor balances.
  • Identify process improvements to increase efficiency and reduce manual steps.

Qualifications

  • 3+ years in AP or accounting roles, ideally in distribution or manufacturing.
  • Experience using Epicor Eclipse (Solar Eclipse) ERP system is required.
  • Proficiency in Excel / Google Sheets; comfort with ERP reporting tools.
  • Excellent communication and relationship-building skills.
  • Highly organized, detail-oriented, able to manage priorities independently.
  • Familiarity with project/task management tools (e.g. Asana).

Hours & Compensation

  • ~20 hours/week, flexible scheduling.
  • Remote or hybrid setup, occasional in-person meetings as needed.
  • Competitive hourly rate based on experience.
  • Potential to increase hours or convert to full-time as Ideoli grows.
