Minimum Qualifications:

  • Develop ongoing positive working relationships with all stakeholders
  • Ability to communicate clearly and concisely, both orally and in writing and interact collaboratively with district staff and community partners
  • Extensive computer skills and efficient in Google Workspace and Microsoft Office
  • Proven ability and experience to work in a collaborative and job demanding environment, preferably in a school/district
  • Knowledge and skills in grammar, punctuation, language usage, and general composition
  • Experience with managing multiple departments budgets
  • Experience with Business Plus and MISTAR Q
  • Ability to coordinate and process data in a timely and accurate manner with strong analytical skills
  • Demonstrate a high level of initiative including the ability to plan and organize work independently
  • Meet timelines, maintain confidentiality, prepare report and have the ability to multi task
  • Willingness to learn new skills and tasks as called upon

Responsibilities:

  • Maintain a high level of confidentiality regarding personnel, student data, budget information, and sensitive district technology security matters
  • Assist in and oversee budgets for multiple departments including Curriculum, Instruction and Assessment, Instructional Technology, Data Services, Library Services, Robotics, ESports, Summer Programming, PAVA, Virtual Arts and Elementary Encore
  • Execute various accounting procedures, including tracking expenditures, processing purchase orders, maintaining expenses accounts, and reconciling invoices
  • Prepare compliance documentation and data collection for state reporting/funding including but not limited to 31a and all Title grants
  • Oversee district wide supply ordering, including textbooks, teacher materials, technology and digital licenses
  • Monitor district inventory of curriculum materials and manage distribution to buildings
  • Prepare documentation for professional learning including assisting in PD day planning and set up
  • Process and manage conference requests including processing, registering, and payment
  • Reserve conference rooms for district meetings, workshops and events
  • Process personnel and payroll support including PINKS, Schedule B contracts, monthly mileage reimbursement forms and timecards for staff working outside of contractual hours
  • Help prepare for all summer learning programs and order necessary materials
  • Update and support in preparation of the yearly course catalog and annual education reports
  • Maintain E-Rate and bond projects applicable to departments including records, logistics, ordering, generating quotes, maintenance and organization of contracts
  • Process and manage vendor invoicing for annual and monthly contracts
  • Manage vendor contracts and services agreements
  • Assist in management of student device repairs including digital invoicing, maintaining records and supporting payment processing
  • Process purchasing card reconciliations on a monthly basis
  • Serve as the primary point of contact, answering phones, greeting visitors, and responding to inquiries in a kind and professional manner
  • Prepare, format, and distribute a variety of materials, including memos, reports, presentations and learning materials
  • Other duties as assigned
