We're looking for candidates residing and working in CO, DC, FL, GA, KY, MA, MD, MO, NC, NJ, PA, SC, TN, TX, and VA. Duties/Responsibilities:
Payroll System Implementation:
- Collaborate with clients to understand their payroll implementation requirements.
- Configure and customize payroll, including time tracking, PTO, and sick policies to meet specific needs.
- Oversee the installation, setup, and testing of the payroll software system.
- Ensure data migration from the legacy payroll system when applicable.
- Import and balance historical payrolls to prior filings, when applicable.
Payroll Compliance and Regulation:
- Stay current with federal, state, and local payroll laws and regulations to ensure that the payroll system implemented complies with all relevant laws and standards.
- Apply for the client's state, county, locality, or city tax accounts.
- Follows all security protocols to safeguard confidential, proprietary, and/or customer data.
Payroll Process Optimization:
- Analyze and review existing payroll processes and identify areas for improvement.
- Develop and implement best practices to enhance efficiency and accuracy.
Payroll Testing and Quality Assurance:
- Process the first and second client payroll and verify accuracy with the client.
- Ensure that the payroll generates accurate calculations and reports.
HR, Benefits, and Workers' Compensation
- Assist clients with clergy by providing resources to develop their compensation package and advise on SECA Allowance and extra W4 withholding.
- Review employee job classifications for accuracy in exempt/nonexempt. When necessary, develop a plan with the client for changing classifications and pay schedules, implement time tracking, and provide training.
- Onboard new client employee hires during onboarding, including I-9 and E-Verify when applicable.
- Facilitate adoption agreements for the client's benefits provider for dental, vision, ancillary products, and retirement plans.
- Facilitate the client's employee enrollment forms for the client's benefits provider.
- Apply for workers' compensation policy quotes when required by state law.
Documentation and Reporting:
- Maintain detailed records of the implementation process and any system/process changes.
- Generate regular progress reports for management and clients.
- Document client implementation notes for the Client Services Team and support the Partner Strategists within this team as a subject matter expert.
Additional Team Support:
- Monitor the client finance inboxes three times a day for client requests. Read, respond, research, and/or assign emails to another user.
- Pay client bills, including setting up vendors for payment and sending W-9s to contractors.
- Enter transactions from the client's bank feed in QuickBooks Online.
- Enter check donations in the client's CRM/ChMS.
- Support the Finance Implementation Strategist with ongoing client management, reconciliation, and onboarding tasks as needed.
Client Services Team Support:
- Participate in client handoff meetings to transfer client setup knowledge to the Partner Strategist Team in Client Services, ensuring a smooth handover.
- Address and resolve payroll implementation or accounts payable issues or questions.
Qualifications:
- High School Diploma or equivalent.
- 5 years of required payroll experience with deep knowledge of payroll processing or 5 years of payroll implementation experience.
- 2 years of knowledge in employment law, specifically FLSA and I-9 compliance
- Solid experience in multi-state payroll is a must.
- 1 year of accounts payable experience.
- Experience with payroll, accounting, invoice management, and church management software is highly desirable. Gusto, QuickBooks Online, Google Workspace, Front, Trello, OnRamp, Planning Center, and are also desirable.
- Experience in a church or faith-based non-profit is highly desirable.
- Certified Payroll Professional certification (CPP) is highly desirable.
Required Knowledge/Skills/Abilities:
- In-depth knowledge of payroll laws, regulations, and compliance at the Federal and State level.
- Expertise in Non-Profit/Church/Clergy Payroll: Must demonstrate a thorough understanding of unique clergy compensation rules, including Housing Allowances, SECA (Self-Employment Contributions Act) reporting, and other non-profit payroll compliance issues.
- Experience in accounts payable using accounting software and bill pay platforms.
- Ability to reconcile payroll and financial data between platforms or accounts.
- Strong analytical and problem-solving skills.
- Excellent communication and interpersonal skills, including consultation skills.
- Attention to detail and accuracy in data handling are crucial.
- Ability to lead HR/payroll system implementation projects, including configuration, testing, and end-user training.
- Proven ability to manage multiple projects and meet deadlines in a fast-paced environment.
- Self-motivated and adept at working independently in a remote setting.
- Ability to learn new software quickly.
