Job Overview

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will provide essential support to our office operations, ensuring smooth day-to-day activities. This role requires strong communication skills, proficiency in various software applications, and the ability to manage multiple tasks efficiently. The Administrative Assistant will be the first point of contact for clients and visitors, making professionalism and excellent customer service paramount.

Responsibilities

  • Manage front desk operations, greeting visitors and handling inquiries with professionalism.
  • Answer and direct calls using a multi-line phone system while demonstrating excellent phone etiquette.
  • Perform data entry tasks accurately and efficiently, maintaining up-to-date records.
  • Assist with calendar management, scheduling appointments, and coordinating meetings.
  • Handle filing and organization of documents to ensure easy retrieval of information.
  • Provide clerical support including typing, proofreading documents, and preparing reports.
  • Support bookkeeping functions as needed, including basic accounting tasks in QuickBooks.
  • Offer customer support by forwarding client needs to management and resolving issues promptly.
  • Maintain office management duties to ensure a productive work environment.

Qualifications

  • Previous experience in an administrative role is preferred; experience as a receptionist is a plus.
  • Proficiency in Microsoft Office (Word, Excel) and Adobe Acrobat.
  • Proficiency in Math and 10-key typing skills.
  • Strong organizational skills with the ability to manage time effectively and prioritize tasks.
  • Excellent communication skills; bilingual candidates are encouraged to apply (Spanish).
  • Familiarity with multi-line phone systems and front desk operations is essential.
  • Demonstrated computer literacy with the ability to learn new software quickly.
  • Experience in customer service or support roles is highly valued.
  • Attention to detail in proofreading documents and managing data entry tasks is crucial.
