Job Summary
The WFM (Workforce Management) Lead is a critical role responsible for ensuring the organization has the right people, with the right skills, in the right place, at the right time. This position bridges the gap between human resources and operational execution, focusing on optimizing productivity and efficiency through strategic staffing and collaboration with scheduling and optimization teams. At its core, the WFM Lead is responsible for forecasting labor needs, creating and managing the staffing models, and analyzing workforce data to make informed decisions. This role is pivotal in balancing operational demands with employee needs and company resources.

Workforce Planning:
- Analyzing historical data and business trends to predict future staffing requirements.
- Creating and maintaining employee staffing models to meet the forecasted demand.
- Collaborating with various departments to understand their needs and developing long-term and short-term staffing plans.
Forecasting non-productive time, shift changes, and ensuring adequate coverage to maintain service levels.
Ensure the regular review and adjustment of workforce plans based on changing business conditions.
- Ensure alignment between workforce planning and recruitment efforts.
- Drive the design and maintenance of workforce planning processes, tools, and systems.
Workforce Management:
- Working closely with HR, Operations, Logistics, and Finance departments to align workforce strategies with overall business objectives.
- Analyze workforce trends to forecast future needs and identify workforce gaps.
- Collects and analyzes workforce data to track key performance indicators (KPIs) such as absenteeism, overtime, attrition, and time on site targets.
- Creating reports for management, providing data-driven insights and recommendations for improvement to senior management.
- Providing real-time monitoring of operational KPIs and demand signals to identify and address any immediate staffing gaps or surpluses.
- Rapid problem-solving to make adjustments to staffing levels.
- Evaluates new and existing technology to increase solutions to improve operational efficiency and determine cost reduction opportunities.
- Key point of contact for staffing-related inquiries and issues.
Continuous Improvement:
- Work collaboratively with function heads to provide actionable insights to improve performance.
- Continuously evaluating and improving workforce management processes and tools to enhance efficiency and effectiveness.
- Establish Key Performance Indicators (KPIs) to monitor process performance, track progress, and ensure that improvements are sustainable.
- Promote a mindset of continuous improvement.
- Establish metrics to measure change adoption and system utilization.
Project Planning & Execution:
- Lead the end-to-end project management for Workforce Management data, process improvement initiatives, and system improvements from conception and business case development to successful implementation and post-launch support.
- Partner with business stakeholders to ensure strategic alignment and integration.
- Ensure the development of detailed project plans, scope, budgets, timelines, and allocation of resources is effective.
Change Management & Adoption:
- Develop and execute comprehensive change management strategies minimizing disruption and maximizing user adoption.
- Partner with HR and business leaders to communicate changes, manage expectations, and build excitement for new technologies and/or processes.
- Oversee the development and delivery of effective programs for workforce management.
- Ensure system/process simplification and user-friendly experience.
Team Leadership & Development:
- Lead, mentor, and develop a high-performing team.
- Foster a culture of continuous learning, innovation, and customer service within the team.
- Manage vendor relationships, including contract negotiation, performance monitoring, and strategic partnership development.
CANDIDATE SUMMARY
Required Experience
- Bachelor degree in business or a related field and 8 years of workforce management experience required, or an equivalent combination of education and experience
- Masters degree preferred
- 5 years of management experience required
- Expert knowledge of workforce scheduling software and applications
- Microsoft Office/Google applications (Word, Excel, PowerPoint, Google Sheets, Google Slides,
etc.)
- 3-5 years experience managing staff, resources, projects, and change management.
- Experience with facilitating process assessment sessions with internal and external business
partners at all levels.
- Ability to influence leaders
- Demonstrated awareness and understanding of multiple types of measurement systems' theories and practices.
- Ability to collect, analyze, and report appropriate and meaningful achievement metrics.
- Proven competence in managing multiple tasks and competing priorities
- Superior interpersonal, oral and written communication skills.
- Ability to prepare and present utilizing data visualization tools.
- Demonstrated ability to work independently and collaboratively
- Demonstrated team building and networking skills
- Effective knowledge of teaching and training techniques.

Formal Education, Qualifications, or Training
- Bachelor degree in business or a related field and 8 years of workforce management experience required, or an equivalent combination of education and experience
- Masters degree preferred
- 5 years of management experience required
- 3-5 years' experience managing staff, resources, projects, and change management.\
- 5+ years in data analytics
- 3+ years in a management role leading data analytics teams
Base Pay Range: $123,400 - $160,400 / year
While starting pay falls within the given range, it can vary based on factors like geographic location, skills, education, and experience. Total earnings may also be affected by overtime, incentives, commissions, performance, and route assignment (where applicable).
