Records Specialist

Job Summary
As a Records Specialist, you will play a crucial role in managing and safeguarding our organization's information assets. Your expertise in document management systems and information governance will ensure that our records are accurate, accessible, and compliant with relevant regulations. You will be the go-to person for organizing, filing, and maintaining both physical and digital records, while also implementing best practices in archival processing and information security.
What you'll do
- Manage and maintain document management systems to ensure efficient retrieval and storage of records
- Develop and implement metadata standards and taxonomy for effective information organization
- Ensure compliance with legal and regulatory requirements related to records management
- Oversee the filing of documents, both physical and digital, ensuring accuracy and completeness
- Conduct regular audits of records to uphold information governance standards
- Assist in the digitization of records to enhance accessibility and preservation
- Collaborate with various departments to streamline data management processes
- Provide proofreading support to ensure the accuracy of all documentation
Basic qualifications
- Strong organizational skills with attention to detail
- Proficiency in using content management systems such as SharePoint or iManage
- Experience in archival processing and understanding of archival standards
Preferred qualifications
- Administrative experience in a records management or information governance role
- Familiarity with compliance management practices related to records retention
- Knowledge of information security protocols to protect sensitive data
