We are seeking an
Office & Warranty Coordinator
to join our headquarters team. This role is ideal for someone who is organized, personable, and eager to learn the operations side of high-end residential construction. You'll be the first point of contact in our office and play an important role in supporting project administration, warranty coordination, and client communications.

About The Role
The
Office & Warranty Coordinator
serves as the central hub for communication and organization in the Artisan office. You'll greet clients and visitors, manage daily office functions, and assist with the administrative processes that keep our projects and homeowner experience running smoothly. This is a great opportunity for someone who enjoys variety, takes pride in accuracy and presentation, and thrives in a professional, team-oriented environment.

What You'll Be Doing

Front Office & Administrative Support
- Greet clients, trade partners, and visitors with a professional, welcoming demeanor.- Answer and direct phone calls and emails to the appropriate team members.- Manage mail, packages, and office supply orders.- Assist with scheduling, filing, and general office organization.- Help maintain a polished, professional office environment reflective of Artisan's brand.

Warranty Coordination
- Track and schedule homeowner warranty service requests.- Communicate updates to homeowners and coordinate with superintendents and trade partners for completion.- Escalate time-sensitive or urgent issues appropriately to ensure prompt response.- Maintain organized warranty documentation and homeowner contact lists.

Project & Permitting Support
- Update project notes, utilities information, and service requests in Buildertrend.- Assist with permit tracking, fee payments, and communication with permit service providers.- Help with invoice entry, document preparation, and project recordkeeping.- Support team members with administrative tasks related to ongoing construction projects.

Qualifications

  • Experience: 13 years in an office, administrative, or customer service role preferred construction experience is helpful but not required.- Skills: Strong organizational ability and attention to detail. Clear, professional communication (written and verbal). Comfortable managing multiple priorities and working in a fast-paced environment. Tech-savvy and eager to learn Buildertrend and other project management tools. Friendly, composed, and professional when interacting with clients.
