About Us

We are a well-established construction company specializing in projects for Homeowners Associations (HOAs). Our clients are primarily association property managers, and we take pride in delivering professional, timely, and high-quality services. We're seeking a reliable, organized, and proactive Office Manager to join our team and keep our operations running smoothly.

Position Overview

The Office Manager serves as the key point of contact between our internal team, property managers, and HOA residents. You'll manage daily office operations, provide HR support, coordinate events, and ensure accurate project tracking through JobNimbus. This is a high-communication role requiring a sharp attention to detail and the ability to juggle multiple tasks efficiently.

Key Responsibilities

  • Communication & Coordination:
  • Liaison between property managers, HOA residents, and internal staff
  • Manage a high volume of calls and emails professionally and promptly
  • Project & Office Management:
  • Enter and maintain project data in Job Nimbus
  • Oversee office supplies, organization, and daily operations
  • Schedule meetings, handle mail, and support general admin tasks
  • HR & Staff Support:
  • Assist with onboarding, employee records, and time-off tracking
  • Support scheduling and internal staff communications
  • Financial & Compliance Tasks:
  • Manage monthly payables and bills
  • Track and renew business licenses, permits, and vehicle registrations
  • Maintain asset inventory (tools, trucks, equipment)
  • Event Planning:
  • Coordinate internal company events, training sessions, and staff appreciation activities
  • Plan logistics, book venues/vendors, manage RSVPs, and occasionally attend weekend events
  • Reporting & Compliance:
  • Ensure timely renewals and compliance with city/state requirements
  • Generate reports and assist management with operational oversight

Qualifications

  • Prior experience as an Office Manager or Administrative Coordinator (construction or HOA-related experience a plus)
  • Excellent communication, multitasking, and organizational skills
  • Strong computer skills (Microsoft Office; Job Nimbus experience preferred)
  • Basic understanding of HR processes and office accounting
  • Professional, dependable, and able to handle confidential information
  • Willingness to work occasional weekends for planned company events

Job Type: Full-time
