JOB SUMMARY

The Department Faculty Coordinator plays a key role in supporting faculty affairs within assigned divisions by coordinating the faculty job request process, creating job postings, and managing the faculty appointment process. This position works closely with the Dean's Office Faculty Affairs to manage faculty transactions efficiently and in compliance with institutional policies. The coordinator collaborates with divisions to draft and finalize Letters of Intent and other essential documents, provides guidance on faculty onboarding processes, and maintains onboarding checklists. Additionally, the role coordinates faculty promotion, tenure, post-tenure review, evaluations, adjunct appointments, and annual appointments, ensuring all faculty transactions are accurately tracked and properly documented in the appropriate spreadsheets.

EXPERIENCE AND EDUCATION

Required

Education

High School Diploma or equivalent.

Experience

5 years of progressively responsible administrative experience in medical, scientific, or health care environment.

An equivalent combination of education and directly related experience may be substituted in lieu of the stated requirements.

JOB DUTIES

Coordinates Departmental Faculty appointment process in large and complex departments.

Works with Faculty Recruiting to process job requests, postings, and advertising,

Works closely with the Dean's Office Faculty Affairs for all faculty transactions.

Works with International Office with regards to Visas and Permanent Residency applications

Works closely with the Department Chair to prepare the Letter of Intent based on guidelines from the Office of the SMS Dean

Coordinates Faculty Onboarding process

Assists new faculty with relocation efforts

Coordinates Departmental Faculty Promotion & Tenure Process as well as the Post-Tenure review process for new and existing faculty. Maintains records of faculty members Coordinates Department annual faculty evaluation process.

Coordinates Department annual faculty reappointment letter process.

May coordinate or supervise all aspects of credentialing/re-credentialing for new and existing faculty.

Coordinates creation/update of faculty websites following established templates and guidelines.

May gather information to ensure compliance of malpractice/risk management for faculty, fellow and residents.

May coordinate department faculty conferences and retreats.

May coordinate Departmental Volunteer faculty.

Creates and maintains various reports/spreadsheets for management.

May provide working supervision for staff of lower rank.

Performs other duties as assigned.
