Job Responsibilities:

1. Executive Assistant to President:

  • Providing administrative assistance to the President, such as writing and editing e-mails, drafting memos, and preparing communications on the President's behalf

  • Managing the Presidents calendar, including making appointments and prioritizing the most sensitive matters

  • Handling confidential information, Maintaining comprehensive and accurate records

  • Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary

  • Organizing, coordinating, and supporting the logistics of special events, and holiday celebrations

  • Being in charge or assisting with special projects by conducting research, preparing information and proposals, as well as generating reports

  • Being the point person for the President. Assisting with interdepartmental collaboration and managing the deadlines

  • Collaborate with the management team on additional assignments

2. Marketing & Public Relations:

  • Assisting in creating the marketing strategies and plannings

  • Coordinating, initiating, or implementing marketing events and campaigns to promote our programs and services

  • Tracking ROI for marketing events/campaigns and generating reports

  • Creating or coordinating the design of promotional material and distribute in online and offline channels

  • Advertising our company and programs/services on various media

  • Planning and coordinating for press interviews and press release

  • Producing marketing copy for our website and social media

  • Crafting and sending regular newsletters with company updates to our customer base

  • Monitoring our social media pages and address clients' queries

  • Networking with industry experts, potential clients and local organizations to drive brand awareness and built up relationships

  • Collaborate with the management team on additional assignments

3. Human Resources:

  • Developing and implementing company policies and procedures in compliance with labor laws

  • Leading and coordinating recruitment and hiring for all departments

  • Conducting and coordinating the hiring process, including Interviews, job offers, NEO trainings, etc.

  • Leading internal communications by crafting and sending regular newsletters with company updates to our employees

  • Assisting staff development and disciplinary actions

  • Leading and organizing events to enhance positive employee relations, such as annual awards ceremony, staff appreciation events, employees' birthday celebrations, etc.

  • Handling employment terminations, exit meetings, and follow up through the entire process.

  • Managing personnel files and confidential HR information

  • Collaborate with the management team on additional assignments

Qualifications:

· College degree preferred with at least 1-5 years of EA experience

· Time management and ability to meet deadlines

· Detail oriented with strong organizational skills and ability to multitask

· Problem-solving and decision making

· Verbal and written communication skills

· Interpersonal skills with an Outgoing Personality, a Positive Attitude, and Confidence

· Proactivity and self-direction

· Proficiency in Word, Excel, Outlook, and PowerPoint

· Knowledge and experience in Marketing and Human Resources

· Bilingual: fluent in both English and Mandarin/Chinese

As a lifetime member of U.S. Swim School Association, Calphin Aquatic Club was co-founded in 2003 by a world champion and Olympic Medalist. The club is well-known in the Bay Area for its proprietary mastery-based curriculum, which is uniquely distilled from 30 years of training, competition, and coaching experience from our Olympian co-founder. Our swimmers benefit tremendously by learning to swim in the right way from the very beginning. The club also provides modern, safe, clean and well-maintained indoor swimming facilities in both Dublin and Fremont.

Compensation:

$27-$31 per hour ($56K - $64K annual) D.O.E. with benefits
