Position Summary

We are seeking a highly skilled and self-directed Project Manager to lead integrated workplace initiatives involving space planning, relocations, FF&E coordination, and change management. This role requires the ability to translate organizational needs into efficient space solutions while ensuring projects are executed seamlessly from planning through post-occupancy.

What You Will Do

  • Serves as a single point of contact for the client and executive stakeholders.
  • Translates business objectives into scope, success criteria, and actionable project plans.
  • Facilitates governance, decision logs, and executive readouts.
  • Provide Planning. Programming and Design Integration
  • Leads discovery, programming, and test fits; validate occupancy and adjacencies.
  • Coordinates A/E teams through schematic, design development, and construction documents.
  • Conducts constructability reviews and advise on best-value technical decisions.
  • Builds and maintains integrated Microsoft Project schedules with dependencies and critical path.
  • Establishes and tracks budgets, forecasts, commitments, accruals, and cash flow.
  • Publishes weekly status reports with schedule variance, cost performance, and risk updates.
  • Drafts Statements of Work, bid packages, and award recommendations for A/E, GC, and specialty vendors.
  • Administers owner-held contracts in partnership with Procurement and Finance/AP.
  • Prepares and Oversees submittals, RFIs.
  • Drives issue resolution and recovery plans to protect the critical path.
  • Directs furniture standards, specifications, bidding, procurement, and installation management.
    • Coordinates IT/AV, security/access, and facilities operations for seamless cutover.
  • Maintains a living risk and issue register with mitigation actions and accountable persons.
  • Serve as the lead point of contact for space planning and workplace transition projects.
  • Perform occupancy planning, test fits, and programming studies, providing recommendations backed by data and scenario analysis.
  • Plan and manage large-scale relocations, including phasing, logistics, and vendor coordination.
  • Develop and maintain detailed project scopes, schedules, budgets, and reporting dashboards.
  • Coordinate FF&E procurement, delivery, and installation to align with space and occupancy requirements.
  • Oversee vendor selection, RFP processes, and contractor performance.
  • Partner with change management leads to integrate space decisions with communication and training strategies.
  • Lead stakeholder workshops, project meetings, and end-user readiness sessions.
  • Prepare clear, professional communications, including move instructions, signage packages, welcome guides, and executive updates.
  • Conduct on-site walkthroughs, space audits, and move-day support.
  • Ensure projects adhere to PROVEN and client safety protocols, policies, and quality standards.

What You Bring

  • 7+ years of experience in space planning, workplace strategy, relocation management, or facilities planning.
  • 5+ years managing vendors, contracts, or service teams.
  • Proven experience managing large relocations and complex FF&E installations in active, operational environments.
  • Strong knowledge of change management principles, with experience guiding end users through physical and operational transitions.
  • PROVEN ability to manage MEP projects.
  • Excellent written and verbal communication skills; capable of tailoring messaging to executives, teams, and vendors.
  • Ability to thrive in fast-paced, shifting environments with minimal supervision.
  • A confident, approachable, and professional presence that builds trust.

Technical Proficiency

  • Microsoft Office Suite (Excel, Word, PowerPoint) – Advanced
  • Microsoft Project – Intermediate to Advanced
  • Bluebeam and Adobe Acrobat – Proficient
  • AutoCAD – Intermediate
  • Revit – A plus

Preferred Certifications

  • PMP (Project Management Professional) – REQUIRED
  • Prosci or CCMP (Certified Change Management Professional) – Preferred
  • FMP (Facility Management Professional) – A plus

Additional Requirements

  • Reliable transportation for regular site visits.
  • Occasional nights and weekends during critical move or install phases.
  • Up to 15% domestic travel may be required.
