Who We're Looking For:

We're seeking a Marketing Operations & CRM Manager to join our growing team and report directly to the owner. This is a full-time, 40-hour-per-week remote W-2 position. The ideal candidate is eager to make a meaningful impact within a small, fast-moving company and has a proven track record in data-driven marketing operations, CRM segmentation, and email automation strategy.

Responsibilities:

1. Marketing Operations & Lead Acquisition

  • Source and import new contact and company lists
  • Validate and enrich incoming contacts with key fields and associations
  • Manage and execute a marketing calendar of weekly, segmented campaigns
  • Oversee the weekly event calendar to ensure events are effectively marketed and staffed

2. CRM Automation & Lead Segmentation

  • Organize contacts into segments based on defined criteria
  • Build and maintain sequences and email campaigns to educate, engage, and qualify leads
  • Track and optimize open rates, reply rates, and engagement by segment and contact type
  • Collaborate with Sales to align messaging and timing with outreach priorities

3. Lead Nurturing & Engagement Support

  • Monitor and respond to campaign engagement (opens, clicks, form submissions, replies) until contacts are sales-ready
  • Schedule meetings directly on the Sales calendar for qualified leads
  • Assign follow-up tasks for Sales based on lead behavior
  • Support the development of prequalification forms and follow-up templates

4. Reporting & Optimization

  • Track and report key campaign metrics, including lead volume, open rates, engagement, and conversions
  • Track and report sales metrics such as active leads, outbound activity, deal creation, and closed revenue
  • Identify trends and make data-informed recommendations to refine targeting and improve lead flow
  • Continuously improve processes to increase conversion rates and database value

Qualifications:

Required:

  • 2+ years of experience using HubSpot (or similar CRM/marketing automation tools) for lead generation or marketing operations
  • Strong understanding of data segmentation, email automation, and CRM lifecycle management
  • Experience managing large datasets and maintaining data accuracy
  • Analytical mindset with the ability to interpret metrics and drive actionable improvements
  • Excellent organizational skills and attention to detail
  • Collaborative working style across marketing, sales, and operations teams

Preferred:

  • Familiarity with the K-12 or tutoring industry
  • Experience in a fast-paced, start-up environment
  • HubSpot certifications (Marketing Software, CRM Implementation, or Data Management)
