About the role

The Program Manager, Youth Camps manages the design and delivery of multiple youth camp programs. This role oversees seasonal planning, coordination, and on-site leadership to ensure safe, engaging, and well-executed camp experiences. This position also supports other program and event operations as needed throughout the year.

Duties/Responsibilities (including but not limited to):

· Leads the planning and execution of youth camps including Camp Goodtimes, Mini Camp, and Sibling Ski Camp from inception through post-program evaluation.

· Manages deadlines, coordinates logistics, books facilities and transportation, and ensures all supplies and equipment are secured.

· Develops and maintains camp schedules and activities that align with The Goodtimes Project's mission, values, and camper population.

· Creates cabin groups, designs inclusive activities, and manages camper transitions throughout the day.

· Oversees camper recruitment and intake process, reviews and approves camper applications, coordinates medical reviews, and directs communication with families regarding acceptance, waitlists, and pre-camp information.

· Updates and keeps camper applications functional and accurate each camp season in collaboration with the CampDoc support team.

· Serves as the on-site director during camp sessions, acts as the primary decision maker and support person for camper-related needs and collaborates with the MedShed Team to ensure camper health and safety protocols are implemented and followed.

· Coordinates logistics for camp operations such as bus bookings, ferry paperwork, and special event coordination and maintains ongoing communication with external vendors and community partners.

· Develops and submits program budget proposals, in collaboration with leadership, and ensures ongoing monitoring of expenditures to align with approved budgets for assigned events and programs.

· Produces and manages operational documents including camper manuals, activity schedules, emergency response plans, and procedural guidelines to ensure all programming complies with internal policies and industry standards such as Children's Oncology Camping Association (COCA) and American Camp Association (ACA) guidelines.

· Purchases and organizes camp supplies and materials and ensures availability and accessibility for activities and camper needs.

· Collects and analyzes camper feedback through post-camp surveys and other evaluation tools, and uses insights to inform program improvements, increase camper satisfaction, and enhance program impact.

· Collaborates closely with the Youth, Volunteer, and Supporter Communities Manager to ensure adequate volunteer coverage and effective staff onboarding.

· Supports storytelling and fundraising by sharing program data, participant feedback and meaningful anecdotes with the Executive Director and other staff for grant proposals, donor communications, and organizational reporting.

· Represents the youth programs in cross-departmental meetings, reports on camp status, milestones, and challenges, to maintain alignment with broader organizational goals and timelines.

· Participates in organizational events and initiatives and attends and coordinates support for the annual Gala and other fundraising or community events.

Other:

· Creates social media posts relevant to Youth Camps, in collaboration with the Operations Manager.

· Contributes to the overall success of goals and initiatives of The Goodtimes Project by working as a team – supporting teammates, collaborating, problem solving, and attending events, camps, or programs when needed.

· Helps grow our organization's connections with outside support organizations, such as hospitals, other non-profits, and service providers.

· Maintains confidentiality and handles sensitive information with discretion, adhering to the organization's policies and procedures for data protection and confidentiality.

· Participates in ongoing training and professional development to stay up-to-date on best practices in program creation, implementation, evaluation, and volunteer coordination.

· Other duties as assigned.

Who you are:

  • BA/BS in related field such as Recreation Management, Education, Social Work or equivalent work experience in youth programming, camp leadership, or related setting preferred.

· 5 years of experience in program planning, camp operations, youth development or related experience preferred.

· A strong connection to and knowledge of service-based organizations and/or prior volunteering with The Goodtimes Project or similar is a plus.

· Passion for and desire to nurture our mission; ability to inspire it in others.

· Proficient in MS Office Suite (Word, Outlook, Excel), Google Docs/Forms, and Adobe as well as the drive to learn additional software.

· Strong oral and written communication skills.

· Bilingual candidates are encouraged to apply, as language skills help us better connect with those we serve.

· Must be available to work nights and weekends as needed.

· May require ordinary ambulatory skills; or the need to stand, walk, and manipulate (lift, carry, move) light to medium weight up to 40 pounds.

Salary and Benefits

The salary for this position is DOE. Salary range $80,000 - $84,000. Benefits include medical, dental, vision, life, short-term, and long-term insurance; employee assistance program; generous paid time off; flexible hours; potential hybrid position.

Vaccination Requirement

As part of our commitment to the health and safety of the children and families we serve, we require all employees to be fully vaccinated against COVID-19, including all recommended booster shots. Exceptions may be granted for approved medical or religious reasons.

In addition, the Program Manager, Youth Camps is required to meet or exceed the vaccination requirements set forth for the overnight camps/retreats they run. Current vaccination requirements include: Diphtheria, tetanus, pertussis (DTaP); Mumps, measles, rubella (MMR); Polio (IPV); Hepatitis B; and Varicella (Chicken Pox).
