Become an essential member of our outstanding team The Project Coordinator assists the Project Manager with creating, distributing, and organizing project information and documentation throughout the lifecycle of assigned projects using software and technology. Acts as a liaison between internal and external team members involved in assigned projects.

· High school diploma or GED required; college degree preferred
ESSENTIAL JOB DUTIES
· Open new jobs and complete all new job start-up paperwork such as preparing contracts for signatures, sending out preliminary notices, requesting insurance, etc.
· Create, distribute, organize, and process change orders, RFI's, and submittals for assigned projects.
· Maintain and update all required logs, spreadsheets, and documentation per assigned project.
· Close completed jobs by updating required spreadsheets and system databases, as well as create & send out close-out documents.
· Assist the Estimating team with downloading & preparing plans, requesting quotes, and updating log as required.
· Support the Construction Department by completing special projects as needed.
· Process all RFP (request for proposal) requests
· Prepare plans and documentation for the estimating department.
· Download and prepare scheduling for important bid deadlines
· Create material list from plans and obtain quotations from vendors.
· Analyze and compare material costs to determine best price and availability
· Compose and process all RFI (request for information) requests
· Receive purchase order from client and complete process for billing /accounting department
· Compose and process proposals and change orders using sage computer software.
· Assist Project Manager with scheduling
· Maintain a master project schedule for job techs on contract jobs
· Routine communication with general contractors and field teams during the project. Update PM as necessary
· Interpret specifications and compile detailed submittal packages. Packages will go to the general contractor for approval
· Assist with final as-builds and use Adobe professional software or Bluebeam
· Schedule subcontractors per project from approved master list
· Preliminary information per project sent out timely
· Request daily report from field foreman directly assisting project managers in this area. Store on server per project
· Order water samples and follow up to completion
· Create and maintain detailed excel spreadsheets to track bids, projects, schedules, etc.
· Order material from purchasing for estimating department
· Assist in problem solving with contractors, suppliers, and subcontractors
· Contract review and provide set up for contract processing after contract has been executed
· Request & maintain insurance for all projects and subcontractors
· Download plans to drop box
· Assist with special projects as needed
· Adhere to all employee handbook policies
HOURS
· The work schedule consists of 7:00am – 4:00pm Monday through Friday. Occasional overtime may be required.
