Sales & Customer Service Support Specialist

Position Summary
The Sales Support Specialist plays a key role in ensuring seamless order fulfillment, accurate reporting, and serves in a general support role to offload specific technical and financial tasks from the Sales and Customer Service teams. This position is responsible for processing and maintaining sales orders, coordinating custom supply needs, managing invoicing, supporting customer service initiatives, and providing critical reporting to support business operations and customer satisfaction.
Key Responsibilities
Order Management & Invoicing
Import and validate customer orders in the ERP system, ensuring accuracy and timeliness.
Identify and correct order errors, collaborating with Customer Service and Sales as needed.
Process on-account invoices, sample orders, and reshipment orders efficiently.
Coordinate with Swiss office accounting to research and resolve any customer payment posting errors or mismatched payments.
Supply Coordination
Coordinate procurement and distribution of all custom supplies required for customer orders.
Place and track orders for supplies, ensuring timely delivery to the appropriate warehouse locations.
Maintain strong communication with warehouse teams to ensure readiness for order fulfillment.
Signage Coordination
Print store price signage locally after receiving design files from the Swiss office.
Distribute signage on behalf of the Customer Service Manager, ensuring it is accurate, aligned with promotions and pricing strategies, and delivered to stores on time.
Act as the point of contact for signage requests, updates, and troubleshooting.
Reporting & Analysis
Run and review periodic stock availability reports.
Summarize and publish inventory and stock availability insights for Sales and Customer Service teams.
Provide proactive reporting to support business decisions and customer needs.
Cross-Functional Support
Partner with Sales and Customer Service teams to ensure operational alignment.
Provide administrative and operational support to enhance overall customer satisfaction.
Assist with continuous process improvements to increase efficiency and accuracy across order and supply management.
