WHAT YOU'LL DO:

  • Provide travel consultation for corporate employees, field personnel and company approved guests regarding their business travel plans. Schedule business-related trips (including all sales, college recruited candidates, and small meetings) or set up proposed scheduling with requestors, create and confirm airline, hotel and car reservations using the SABRE Global Distribution system and/or call an individual airline, hotel or car vendor as appropriate. Set up arrangements using preferred vendors and preferred rates or at the most economical rates available when applicable; reserve individual meetings and send confirmations of all reservations to requestors. Encourage associates to use our online booking tool on simple roundtrip itineraries or itineraries with just a car or hotel reservation to increase adoption.
  • Manage and monitor GDS queues for schedule changes and cancellations. Communicate with effected associates and obtain new reservations as required.
  • Coordinate college recruiting/meeting/convention arrangements confirming attendance; notifying the traveler and/or manager of any penalties, advance purchase requirements or additional monies owed; and issue tickets.
  • Research air fares (including preferred and convention rates), car/hotel rates and airline schedules. Periodically contacting the individual hotel or car company in sold out situations and billing disputes.
  • Keep up-to-date on changes and updates to the corporate travel policy to include but not limited to preferred airline, hotel and car rates. Remain abreast of airline changes to include strikes, weather conditions, airport closings, schedule changes, delays and diversions. Proactively seek insights of innovations in travel technology, bring ideas on operational efficiencies and assist rolling out changes to the travel program, as applicable.

WHAT YOU'LL BRING:

  • Knowledge of Travel Management Company operations and airline global distribution systems (SABRE).
  • Ability to prioritize and work effectively in stressful situations.
  • Experience with Ghost cards, UATP cards and hotel direct billing & reconciliation.
  • Ability to work in a demanding environment involving strict timelines and constant personal interaction.
  • Passionate about providing VIP service to all associates, including proactive anticipation of needs.
  • Associates in this position will travel occasionally (approximately 5–10% annually) to attend Finance and Actuarial activities such as conferences, collaboration sessions or team building meetings. This expectation applies to both local and remote employees, with travel expenses reimbursed in accordance with company policy.

  • Able to work remotely with access to a high-speed internet connection and located in the United States or Puerto Rico.

PREFERRED:

  • Prior work experience as a travel coordinator for an insurance company or financial institution
  • Familiarity with the multiple Online Booking Tools
  • Prior experience as Team Leader or Supervisor
