Position Summary
The Student Assistant - Registrar's Office supports the Registrar's Office in day-to-day operations as well as planning university-wide events such as Commencement. Responsibilities include, but are not limited to, performing general office and clerical tasks, answering phones, creating and scanning documents, preparing spreadsheets, and entering and compiling data. In addition, the Student Assistant will provide event planning support for the May Commencement ceremonies. This includes supporting the Registrar's Office in all facets of planning and facilitating communication with students, families, commencement volunteers, and campus stakeholders.
Education/Experience
Current enrolled student at Stevenson University in good standing with the University, academically and judicially, with a minimum 2.5 GPA (undergraduate) or 3.3 (graduate).
Knowledge/Skills/Ability
- Proficiency in Microsoft Office applications such as Word, Excel, and PowerPoint.
- Database management, website development, and other computer skills are valued.
- Self-motivated, flexible, and possessing a strong work ethic.

- Ability to interact professionally with others via face-to-face, email, and on the phone.
- Excellent oral and written communication skills.

Light work: Exerting up to 20 pounds of force occasionally and/or a negligible amount of force constantly to move objects. Including the following physical activities: stationary position, occasionally moving about inside the office to access supplies and office machinery, operating a computer, calculator, printer, and whiteboard, communicating and exchanging accurate information and ideas so others will understand, observe, and inspect details at close range. Working conditions are primarily inside.
Essential Functions
- Participation in regular office meetings and Commencement Planning Committee meetings.
- Set-up and management of the Tassel ticket distribution system.
- Perform general office and clerical tasks such as answering phones and creating, editing, and scanning documents.
- Prepare spreadsheets and entering, compiling, and analyzing data.
- Manage communication by responding to commencement inquires by email and phone, drafting email and text communication for participating graduates, and forwarding accessibility requests to the appropriate staff members.
- Utilize the Name Coach platform to facilitate name pronunciation review and distribution.
- Create, produce, distribute, and collect graduate name cards.
- Review and edit the Commencement program content.
- Assist with Commencement volunteer recruitment, training, and coordination.
- Prepare summaries, presentations, or reports in the format requested
- Prepare materials and assist with set up of event day locations such as Inscape Theatre Overflow Seating, Graduate Check-In, Guest Tickets, Manuszak Center Gymnasium, and Volunteer Check-In/Welcome
