Administrative Assistant - Fixed Income Technology
6-Month Contract | Newark, NJ | Hybrid (Tuesday-Thursday On-site)

We are seeking an experienced and proactive Administrative Assistant to support the growing Technology group within a leading global asset management firm. This role is ideal for a highly organized professional who thrives in a fast-paced environment and is passionate about helping teams operate efficiently.
Administrative Assistant Responsibilities
  • Serve as the main point of contact for all aspects of the hiring process, from job descriptions through interviews to verbal offers.
  • Act as the 'go-to' for candidates, hiring managers, stakeholders, and vendors regarding the hiring process.
  • Coordinate and schedule all interviews across the Technology Solutions group.
  • Lead daily scrum meetings to update senior leadership on hiring status.
  • Maintain complex records and manage resume submissions.
  • Edit documentation and take meeting minutes.
  • Draft and edit emails, presentations, reports, agendas, and business correspondence.
  • Assist with onboarding and offboarding processes.
  • Organize and streamline data and documentation with a strong eye for detail.
Administrative Assistant Qualifications
  • 2 years of administrative support experience.
  • Strong organizational skills and attention to detail.
  • Excellent time management and prioritization abilities.
  • Comfortable working in a fast-paced environment with shifting priorities.
  • Professional communication skills for interfacing with multiple stakeholders.
  • Ownership mindset with strong problem-solving abilities.
  • Ability to create and implement more efficient work processes.
  • High discretion when handling confidential information.
  • Team player with the ability to work independently.
  • Strong written and verbal communication skills.
  • Proficient in Microsoft Office, especially Outlook and Excel; knowledge of JIRA preferred.
  • Bachelor's degree highly desirable.
Interview Process
  • Three rounds: two virtual and one in-person.
Work Setup
  • Hybrid schedule: Tuesday, Wednesday, and Thursday in-office (no exceptions).
