Dental Practice SupervisorReports to: Administrative Dental DirectorBilingual Required: Cape Verde Creole5 Years ExperiencePOSITION SUMMARY:Brockton Neighborhood Health Center's Dental Practice is a General Dental practice serving both adults and pediatric patients. The Practice Supervisor, in collaboration with the Dental Administrative Director and lead dentist will be responsible for the overall management of the practice, assuring that high quality services are provided to patients in an environment that meets all health center regulatory standards. The Dental Practice Supervisor will support the Dental Administrative Director to ensure that all operational functions of the practice are fully supported. The Supervisor directly oversees the Practice Management staff member of the Dental Department.PROFESSIONAL BEHAVIOR:

COMMUNICATIONS:
  • Professional verbal, written and interpersonal communication skills required.
  • Must regularly communicate relevant information learned at Supervisors meeting, workflow committee and other meetings with assigned staff members. This can be accomplished via regular staff meetings, departmental e-mails, memos, or communication with individual staff members.
  • Communication with supervisors and management must also routinely occur, including relaying information gathered from assigned staff members back to management
PRINCIPAL DUTIES AND RESPONSIBILITIES FOR DENTAL PRACTICE:
  • Oversees the administration of departmental personnel issues, including interviewing
and hiring, performance management, discipline and discharge, training and development of assigned staff members to meet or exceed minimum departmental performance standards.
  • Manages all functions within assigned areas.
  • Monitors and maintains adequate staffing.
  • Responsible for hiring bilingual multi-cultural staff, in addition to initial and
continuous training.
  • Monitors staff attendance and tardiness. Prepares payroll sheets for departments.
  • Performs staff evaluations, merit increases, and terminations as necessary.
  • Provides back up support to supervised departments as necessary.
  • Responsible for conducting monthly departmental meetings for all departments the position supervises. Ensures departments supervised become and remain compliant with JCAHO, HIPAA and other applicable standards and regulations.
  • Monitor departments for volume and adequate staffing while working within budget restrictions.
  • Participates on at least one performance improvement team annually.
  • Attends Workflow Committee.
  • Responsible for maintaining high levels of customer services and customer satisfaction related to assigned departments. Implements quality improvement efforts related to customer service.
  • Plans and implements new services with other departments involved. Identifies areas requiring analysis in regards to utilization of supplies, equipment, staffing and protocols, etc.
  • Assist with ensuring staff compliance with HIPAA Privacy and Security Regulations on an ongoing basis through staff monitoring.
  • Monitors adequate staffing while working within budget restrictions.
    • Maintains a backup plan of per diem staffing.
    • Assures that staff takes lunch and breaks on schedule.
  • Responsible for scheduling and preparing materials for monthly departmental meetings
*Leads, monitors, opens and blocks Dental schedules in coordination and approval of Department Director
  • Provides audit samples to billing up on Director requests
  • Coordinates Department trainings (Infection Control Seminars-Proper use of PPE-others)
  • Monitors internal and external referrals
  • Liaison of external Practice while conducting a professional communication to optimized external
referrals and completion of referrals.
  • Plans and implements new services with other departments involved; identifies areas requiring analysis.
  • Participates in leadership meetings with external consultants to optimize Departmental overall functions
  • Serves as primary Liaison to Insurance payers and dental lab, monitors data of and tracks sent and received cases. Serves as primary contact with external consultant requests and coordination of on-site audits. Provides coverage update notifications to the department.
  • Works closely with billing department to enhance any billing opportunities, advance reductions in preventable denials and lead improvement initiatives
  • (Collaborates with Integrated Pediatric Dental project- participates and represents Dental department in infection Control committee, Environmental Control Committee-Telehealth Committee)
  • Provides back up support for conducting monthly departmental meetings while coordinating agendas.
  • Provides back up support to Dental Administrative Director & DA Supervisor and Dental front desk leadership as needed.
  • Other duties assigned by Supervisor.
MINIMUM SKILLS AND KNOWLEDGE REQUIREMENTS:Bachelor's degree preferred. At least 3 years of management/supervisory experience in a dental or medical setting, experience in a Community Health Center setting preferred. Comprehensive understanding of Dental Terminology and ADA Code preferred but not required. Demonstrate success in executing a high profile project under time pressure. Demonstrate success in structuring and participating in effective teams. Bilingual preferred. Work experience in a multicultural setting is desired. Proficiency in work processing equipment, computer, scanner, various copy machines, voicemail system. Strong financial and, analytic skills. Must be Patient-centered and customer focused. Must be able to build effective teams, including harnessing the diversity of all members of the team and coordinating their ongoing professional development. Must have the ability to recognize and solve problems, including identifying and fixing their root causes. WORKING CONDITIONS:Works in a busy community health center in a high crime urban neighborhood. Interruptions are present and can be disruptive to workflow. Stress is present due to high volume of work, diversified nature of activities frequent crisis and deadlines. Performs other employee duties to cover for staff absences. Schedule varies as needed for emergencies.PHYSICAL REQUIREMENT:Physical demands requiring lifting of small pieces of equipment and/or boxes not to exceed 20 pounds. Interoffice walking required. Visual acuity sufficient for frequent reading and computer work.
