Summary/Objective: The Print Services Coordinator will oversee and support the Director of Ballot Management on all matters relating to the printing of finished ballots, thermal activation cards, blank ballot stock, and other printed materials. The Print Services Coordinator is responsible for reviewing all customer orders to ensure accuracy, both organizational and customer requirements for printed ballots, activation cards, ballot stock and all other printed materials. This includes, but is not limited to, customer ballot specifications, activation card configurations, pricing, and communications within the ES&S Printer Network and internal print facilities.

Essential Duties and Responsibilities

1. Plan, review, and complete customer orders to ensure understanding and accuracy. This includes knowledge of customer portal forms as well as current and future systems for ballot and activation card order processing.

2. Distribution of print, ballot stock, or activation card orders to qualified and available internal or external partner facilities. Coordinate any follow up actions with customer or partner facilities as needed. Proactively troubleshoot print system items that may impact quality and timeliness of product delivery.

3. Analysis and completion of systematic customer billing and facility payments with inventory usage for each job.

4. Use critical thinking to provide quality resolutions to customer issues and concerns including, but not limited to, processing orders, handling requests related to all ES&S print products and service, coordinate resolutions to challenges through appropriate subject matter expert; organize workflow, document and follow-up as required to meet commitments; and assure timeliness of shipments and/or response commitments; and facilitate accurate and timely billing to clients.

5. Participation and planning of any related activities to ensure all facilities adherence to technical specifications and quality control standards; evaluate capability and capacity of partners; plan, forecast and monitor production jobs, both internally and externally produced, and facilitate training and ballot quality control standards for ballot production.

6. Establish rules and procedures for the assignment and monitoring of production jobs that are repeatable and executable by appropriate stakeholders.

 

7. Ensure customer satisfaction by communicating effectively with key stakeholders including, but not limited to, customers, ES&S Sales, Account Management, Customer Support associates, and vendor partners.

Qualifications:

Education: Must have an associate's degree or equivalent combination of education and experience

Experience:

  • Proficient knowledge of Microsoft Office Suite
  • Basic Adobe Pro knowledge desired
  • Basic Profit & Loss Analysis desired

  • Strong written and verbal communication skills
  • Strong Problem Solving/Analytical skills
  • Personal effectiveness/credibility
  • Strong ability to prioritize and manage multiple, concurrent activities within time constraints

Licenses/Certifications Required: None

Travel: Approximately 10% travel is anticipated, traveling to individual partner printer/customer locations for the provision of training and quality control assessment, sales support efforts and/or problem resolution, and providing subject matter expertise in support of scheduled elections and/or user group meetings.
