Our cardiology office is looking for an organized and dedicated New Patient Scheduling Coordinator and Medical Records Specialist to join our team. This dual-role position is responsible for coordinating patient appointments and managing medical records to ensure efficient and high-quality patient care. The ideal candidate will excel at managing patient schedules, ensuring smooth communication between patients and healthcare teams, maintaining accurate records, providing compassionate service to patient with cardiovascular concerns and delivering exceptional support to our healthcare providers and patients. The New Patient Coordinator will play a crucial role in supporting our mission to provide excellent care and a positive experience throughout each patient

 

Key Responsibilities:

 

New Patient Scheduling Coordinator.

· Schedule Appointments: Coordinate and manage patient appointments, balancing the needs of patients and the availability of healthcare providers.

· Patient Communication: Serve as the primary contact for patients, handling appointment reminders, follow-ups, and general inquiries.

· Insurance Verification: Verify insurance information before appointments to facilitate smooth billing processes and minimize delays.

· Reminder and Follow-Up Calls: Ensure patients receive timely reminders and follow-up calls to keep them informed about their appointments and any required preparations.

· Collaboration: Work closely with physicians, nurses, and administrative staff to optimize scheduling and accommodate urgent patient needs.

· Data Entry and Management: Maintain accurate patient records, update scheduling system, and track patient flow through HER software.

· Patient Support: Provide compassionate support to patients, addressing any scheduling or appointment-related concerns with sensitivity

 

Medical Records Specialist

· Record Management: Maintain, organize, and update patient records with accuracy and confidentiality in accordance with HIPAA regulations.

· Data Entry: Input new patient information, update medical history, and ensure timely record availability for appointments and clinical care.

· File Retrieval and Release: Process requests for medical records, ensuring that release protocols are followed for patients, healthcare providers, and insurance companies.

· Auditing and Compliance: Regularly review and audit records for completeness and compliance with office policies and regulatory standards.

· Support Staff Coordination: Assist medical and administrative staff in accessing necessary patient information, streamlining patient care.

 

Qualifications:

Experience: Previous experience in a healthcare office setting, particularly in scheduling and medical records management, is preferred. Cardiology experience is a plus.

Skills: Proficient in EHR systems, scheduling software, and medical record management systems. Strong attention to detail and multitasking abilities.

Communication: Excellent verbal and written communication skills, with a customer service focus.

Knowledge: Familiarity with medical terminology, insurance processes, and HIPAA regulations is required.

Education: High school diploma or equivalent; an associate degree in health information technology or related field is advantageous.
