Assistant Director of Data Management

We are working with a non-profit organization that serves thousands of people each year through community programs on the Upper West Side and throughout Manhattan. They are actively seeking an Assistant Director of System Outcomes & Data Management. The candidate in this role would join the team as a consultant on a contract-to-hire basis. This role operates onsite full-time on the Upper West Side.
Key Responsibilities:
The Assistant Director will be responsible for collaborating with directors and program staff to define and implement key performance indicators and advocate for an information-informed culture.
- With the Director of Counseling and Director of Institute, design and implement a data-informed vision for Options counseling and training programs.
- Work closely with the Access and Success Team Managers to track key performance indicators.
- Supervise Administrative Data Specialist.
- Co-manage Options Institute Administrative Assistant/Program Coordinator.
- Manage the database system (Grouptrail).
- Maintain integrity and confidentiality of data.
- Provide ongoing technical assistance and support to staff in tracking student progress through database.
- Provide training to new and current counseling staff on database protocols and counseling reports.
- Perform data audits on a regular basis, collaborate with staff on maintaining data integrity, and ensuring system remains in good health within industry standards.
- With the Institute Program Coordinator, upload and maintain learning modules and identify and implement technological solutions to increase the effectiveness of training.
- Help develop, maintain, and analyze the Institute’s performance data to support team learning and performance goals, including evaluations, pre-post surveys, and follow-up surveys.
- Keep up to date on changes to databases and maintain updated tip sheets and database manuals for staff.
- Demonstrate commitment to learning and professional development.
- Build and run reports for continuous program improvement and external reporting use.
- Manage data reporting calendar for funder and partner reports; undertake special reports as needed.
- Support the organization's Results Management Framework and Youth Pathways Systems Outcomes.
- Serve as partnership manager for external data collaborations and special projects.
- Convene Data Team meetings and provide data memos for counseling and training team meetings and quarterly data benchmarks.
- Support Assistant Director of Operations with center-wide systems - Security, HVAC, and Financials as needed.

- Strong customer service orientation
- Sound judgment and discretion about protecting the privacy of participants
- Ability to work independently as well as collaboratively
- Ability to prioritize
- Strong verbal and written communication skills
- Exceptional attention to detail
- Familiarity with counseling and the college access and success counseling processes a plus
- Demonstrated adaptability and openness to shifting priorities, needs of stakeholders, and organizational changes
- Experience with database management
- Must be proficient with Microsoft Office products (Word, Excel, PowerPoint, Pivot Tables a plus)
- Experience with Google Docs and Google Sheets is a plus
- Some knowledge of Grouptrails
