SUMMARY: The Logistics Coordinator’s main responsibility is to support the seamless operation of the company’s services by receiving and processing export / import client’s shipments via truck, airline, and steamship companies. Responsible for executing all functions related to the successful operation of this position and to provide top notch customer service with continual improvement in mind.

DUTIES AND RESPONSIBILITIES:

Export:

  • Communicate with carriers, overseas agents, and customers via telephone and email. Take booking requests and export customer service calls.
  • Ensure he/she has current buying/selling rates set-up for every export shipment.
  • Complete proper export documentation and send pre-alerts. Request documents from shipper as required.
  • Check the shipments in the warehouse as needed to ensure that the shipping documents are appropriate for each shipment.
  • Review and understand standard operation procedures to ensure compliance with all regulations, TSA, ISO, IMDG and Export Control including AES/EEI.
  • Notify customers of any delays regarding arrival or delivery of their cargo.
  • Responsible for special shipments involving perishables and/or be in-charge of special accounts.
  • Close out files in a timely manner according to company standards.
  • Dispatch driver to customers to pick up freight and monitor its arrival for consolidation.
  • Handle accounting processes accurately and in a timely manner as they apply to the operations department.
  • May require driving company van, forklift, and use of scales.
  • Perform other duties as assigned.
  • Cross Train as time permits

Import:

  • Track customer calls for loading instructions. Consult and respond to client requests in a timely manner via e-mail or telephone.
  • Contact agents at the point of origin to obtain information on the cargo to be imported. Identify type of goods and modality to be used for transportation.
  • Obtain cargo information and Incoterms from customer.
  • Ensure cargo arrival with the required documents from country of destination. Contact agents in the country of origin to ensure that the necessary documents are sent.
  • Give instruction and/or direction to warehouse personnel as necessary
  • Coordinate with airlines and customs the arrival of goods, notifying the customer at the appropriate time.
  • Send arrival notice with all necessary information for cargo clearance. Notify and send documentation to broker for the process of cargo clearance.
  • Receive broker notification of the cargo that has been released.
  • Coordinate cargo pick-up with airline and driver.
  • Coordinate, request and where appropriate, make payment of import fees.
  • Coordinate and secure receipt of goods in the warehouse.
  • Notify customers about cargo status.
  • Coordinate cargo clearance from warehouse to customer; Coordinate deconsolidation.
  • Notify warehouse about cargo receiving documentation.
  • Confirm shipment to ISF customs 10+2/10+5 for the US as required.
  • Confirm with sending agent the shipment of AMS/ACE to the US Customs System
  • Identify import trading terms (DDP, DDU, DAI).
  • Be point of contact with Prime Fresh Handling customers and complaints with agents.
  • Monitor monthly customer satisfaction.
  • Organize, make, and monitor claim process, of any loss, damage, or delay in cargo.
  • Provide direction to warehouse personnel as necessary and may review warehouse personnel’s work product to ensure it supports optimum customer service.
  • Any other duty that management requests to fulfill company’s main objectives.
  • Performs other tasks/duties as assigned by immediate supervisor or management.

  • QUALIFICATIONS:
  • 2 + Years of experience in the operation of air and sea import/export and its relevant documentation.
  • Ability to work extended hours and respond to calls / e-mails outside of business hours.
  • Excellent customer service.
  • Ability to work independently.
  • High school diploma or general education degree (GED).
  • Computer skills required: Microsoft Office; SAP Magaya.
  • Bilingual: English/Spanish
