Requirements:
- Minimum of 3 years’ experience in Bookkeeping (all phases) not just one segment of Bookkeeping
- Bookkeeping – Sage is the accounting program we use and prefer a bookkeeper familiar with Sage
- Payroll
- Including Weekly Payroll taxes for: State and Federal (we have a check-off list which bookkeeper has to follow)
- Everyone clocks in with a card – System is called Time Trax – this is how we know the time the associate is to be paid.
- Accounts Payables:
- How to enter payables into A/P system (we issue checks every Thursday)
- Issue Manal checks (we have system identified)
- Issue “ON LINE payments: these will be identified – Bookkeeper must know how to check for on-line payments due and how to pay on-line
- Majority of invoices are received on Our Outlook, not through the mail – Accounting Outlook to be checked daily
- Word Processing: Prefer Bookkeeper can type 40 + WPM
- Excel: very important – create formulas for spread-sheets (we review, weekly Inventory, vehicle maintenance etc. into a spreadsheet and place orders for Plant inventory, and schedule vehicle maintenance according to the Excel Spreadsheet.
- Bill of Materials knowledge (would be helpful), but believe this can be picked up
- Web-Site – knowledge how to change a picture or add wording, if needed. This is very seldom, but helpful if knowledgeable.
- Sales Orders and Packing Slips: We have procedures set up, how to enter, process
- Majority of Sales orders are emailed to us, Each morning and through-out day the Sales and Orders emails must be checked
- Deviations for Sales Orders: Customer has to be notified via email, and verified before shipping orders
- We have a $200. Minimum per order – we notify customer and give them a chance to bring their order up to $200.00 or add a $25.00 charge to their order.
- Freight Quotes: We have 4 different 3rd party companies which we request a freight quote:
- if the Sales Order specifies freight Pre-Paid and Add to the Sales Invoice.
- Most orders have a specified carrier (Bookkeeper has to enter their freight code if specified on their order.
- Inventory Sheets Posted (daily) this information comes from plant – Bookkeeper will post and advise when the product meets a minimum supply and product must be ordered again.
- Purchasing: Inventory entered onto our Excel Inventory sheets (from Daily inventory entries) will determine the time to re-order specific products.
- We maintain a certain amount of months of inventory on hand.
- Lead-time for material to arrive is also necessary to watch & order in timely manner (this comes from inventory posted spread-sheet.
- We use Outlook for emails, and Windows 365
- Hours of work: Monday – Thursday: 7:30 am – 4:30 pm. Fridays: 7:30 am – 12:00 noon. We pay for 2 each 15 minute breaks, before and after lunch. Lunch is 30 minutes and person is off the clock.
- Holidays: Every major holiday, Easter, Memorial Day, Labor Day, Thanksgiving: We take 2 days instead of 1 day, which provides a 4 day holiday: Christmas and July 4th is 1 week. We have a system which associates build their time for holidays to be paid. Each year with our company the paid time off formula changes and more paid time off is quicker to accumulate. Paid time off is not automatic. Paid time must be accumulated according to length of time with our company.
