Job DescriptionJob Description

We are offering a permanent employment opportunity for an Office Assistant in San Francisco, California. As an Office Assistant, you will manage and support administrative tasks, maintain office supplies and equipment, handle correspondence, and ensure the office environment is clean and organized. You will also be responsible for maintaining accurate records, assisting in the onboarding process for new employees, and serving as the point of contact for internal and external stakeholders.


Responsibilities:

• Handle both incoming and outgoing correspondence, including emails, mail, and phone calls.

• Coordinate and schedule meetings, appointments, and travel arrangements for staff members.

• Manage and maintain the office environment, ensuring it is clean, organized, and welcoming.

• Oversee the office maintenance and liaise with building management for any issues.

• Assist in the onboarding process for new hires, including preparing workstations and necessary documentation.

• Maintain accurate and up-to-date records, including employee files and office documentation.

• Assist with data entry tasks and manage office databases.

• Serve as the point of contact for both internal and external stakeholders.

• Manage and maintain office supplies and equipment.

• Proficiency in Accounting Software Systems

• Experience with ADP - Financial Services

• Familiarity with the creation and management of Banner Ads

• Competence in using various Computer Programs

• Knowledge of Customer Relationship Management (CRM) systems

• Proficiency in using About Time software

• Demonstrated ability to provide accurate and timely responses (Answer)

• Experience in Answering Inbound Calls

• Ability to handle Billing Functions efficiently

• Skilled in performing Clerical Duties

• Experience working in an Administrative Office environment

• Knowledge of Paper Filing systems and procedures

• Excellent Email Communications skills
