Administrative Specialist I

Job Description:
Under minimal supervision, the Administrative Specialist I performs routine document management and other administrative duties. This role requires independent judgment within organizational standards. The ideal candidate is responsible for maintaining accurate records and documentation, preparing various forms, and performing related tasks. Proficiency in standard computer programs such as Microsoft Word, Excel, and PowerPoint is essential, as well as the ability to use other office equipment as needed. This position demands flexibility and adaptability to handle additional responsibilities as assigned.
WPosition Specific Responsibilities:
This role focuses on managing all administrative activities for an IT group. Departmental and administrative support for staff located in Juno Beach is also required. Responsibilities include:
- Managing calendars and scheduling appointments
- Setting up meeting dates and securing locations
- Coordinating facilities and providing related support
- Drafting general correspondence
- Preparing and submitting expense accounts

- Receive, screen, and direct incoming calls, visitors, mail, and email
- Manage schedules, appointments, and calendars
- Arrange business travel and coordinate meeting arrangements
- Process expense reports accurately and in a timely manner
- Maintain strict confidentiality and demonstrate adaptability to shifting priorities
- Perform other job-related duties as assigned
Qualifications:
Required:
- High School Diploma or GED
- Minimum of 4 years of administrative experience
- Strong written communication skills (spelling, grammar, punctuation, vocabulary)
- Attention to detail and ability to maintain strict confidentiality
- Proficiency in Microsoft Word, Excel, and PowerPoint
- Self-starter with the ability to act independently when necessary
Preferred:
- Associate degree
- Strong decision-making skills
- Effective written and verbal communication skills
- High adaptability and organizational skills
