We are offering a short term contract employment opportunity for a Sr. Executive Assistant in EUGENE, Oregon. The Sr. Executive Assistant will play a crucial role in managing the executive office's function, primarily by organizing daily schedules, coordinating meetings, and handling sensitive information. The role also involves communicating with key stakeholders and ensuring overall efficiency in the office.


Responsibilities:

• Ensure the smooth running of the executive office by efficiently managing daily schedules and coordinating meetings.

• Handle confidential information with discretion and professionalism.

• Facilitate effective communication with key stakeholders.

• Answer and respond to phone calls and emails, ensuring timely and accurate communication.

• Assist with the preparation of meeting materials and ensure that executives are well-informed.

• Coordinate travel arrangements, including flights, accommodations, and ground transportation, and provide detailed itineraries.

• Organize and maintain electronic and physical files, including documents related to contracts and agreements.

• Assist with ad-hoc projects and initiatives as assigned by executives, such as creating slideshows and preparing quarterly reports.

• Manage and coordinate logistics for stakeholder conferences and events, including scheduling, sending reminders, and organizing catering when necessary.

• Perform minor accounting duties as required.

• Expertise in Calendar Management tools to organize and schedule appointments

• Excellent Communication skills, both written and verbal

• Ability to handle Conference Calls efficiently and professionally

• Experience in drafting and managing Correspondence

• Proficient in Administrative Office tasks and procedures

• Skilled in creating and delivering Executive Presentations
